- The Chilton School District is seeking a highly organized, collaborative, and detail-oriented Administrative Assistant to join our District Office team. This position provides comprehensive administrative support to the Director of Pupil Services and plays a vital role in the efficient operation of programs serving students with disabilities, multilingual learners, school-based mental health initiatives, and transition services.
- This position requires exceptional organizational, communication, and technology skills; sound judgment; initiative; and the ability to manage multiple priorities with professionalism, discretion, and confidentiality.
- The ideal candidate anticipates administrative needs, independently resolves routine matters, manages sensitive information with the highest level of confidentiality, and consistently provides outstanding customer service to students, families, staff, and community partners.
- Perform advanced administrative support functions, including complex calendar management, scheduling, correspondence, meeting coordination, document preparation, and follow-up.
- Develop, maintain, and monitor organizational systems to track deadlines, databases, spreadsheets, meetings, compliance activities, projects, and follow-up tasks.
- Prepare, edit, proofread, and organize professional correspondence, reports, presentations, agendas, meeting materials, spreadsheets, and other department documents.
- Maintain accurate, organized, and highly confidential student, family, personnel, medical, special education, behavioral, and other protected records in accordance with applicable laws and District procedures.
- Support departmental operations, including purchasing, invoices, budget documentation, contracts, supplies, and professional development.
- Exceptional organizational, time management, and prioritization skills with strong attention to detail and accuracy.
- Excellent written, verbal, and interpersonal communication skills.
- Strong initiative, independent judgment, critical thinking, and problem-solving abilities.
- Ability to anticipate needs, manage multiple priorities, adapt to interruptions, and perform effectively in a fast-paced environment.
- Advanced technology skills and the ability to quickly learn and apply new software and information systems; including Google and Microsoft Office.
- Ability to interpret and follow detailed procedures, policies, timelines, and administrative requirements.
- Ability to maintain confidentiality and exercise sound discretion when handling sensitive information.
- Ability to work independently while collaborating effectively with a diverse, student-centered team.
- High school diploma or equivalent required (Associate degree, technical diploma, or related post-secondary education preferred).
- Experience in a school district, governmental, healthcare, human services, legal, or similarly regulated environment is preferred.
- Knowledge of special education processes and regulations is a plus
