Pillar Health is seeking a Senior Clinic Operations Manager to lead its Washington Road location.
POSITION SUMMARYThe Senior Clinic Operations Manager serves as the senior operational leader for the organization’s largest and most complex clinic location. This role is accountable for full-site operational performance across integrated service lines including medical, dental, behavioral health, and psychiatry.
The Senior Manager translates organizational strategy into site-level execution and ensures achievement of financial, operational, quality, access, and patient experience targets. This positionleadsa multidisciplinary leadership team and drives operational standardization, workforce optimization, regulatory readiness, and continuous performance improvement.
As the flagship site leader, this role serves as a model of operational excellence and functions as a mentor and operational partner to managers across other locations.

Strategic & Financial Accountability- Collaborate on the developmentofdesign, implementation and evaluation of strategies that arescalableacross Southeast Wisconsin that advance Pillar Health’s brand.
- Accountable for overall site performance including productivity, quality outcomes, access, expense management, and revenue optimization.
- Develops and executes the site’s annual operating plan aligned with organizational strategy.
- Responsible for site-level budget management including labor, supplies, and operational expenses.
- Ensures achievement of encounter targets, panel growth goals, and productivity benchmarks.
- Monitors financial indicators including cost per encounter, staffing ratios, overtime utilization, and supply spend.
- Partners with Revenue Cycle tooptimizefront-end processes thatimpactclean claims, collections, and sliding fee compliance.
- Oversees daily integrated operations across all service lines.
- Implements and sustains Leader Standard Work and Lean management practices.
- Establishes andmonitorskey performance indicators including, but not limited to: provider productivity, third next available appointment, visit cycle times, no-show rates, patient throughput, patient satisfaction.
- Leads structured daily/weekly/monthly performance reviews.
- Developsandexecutescorrective action plans when performance falls below targets.
- Leads workflow redesign initiatives to improve access, efficiency, and patient flow.
- Oversees materials management, inventory control, and supply chain optimization.
- Leads and develops site leadership team and supervisors.
- Oversees workforce planning to ensure appropriate staffing ratios and skill mix across service lines.
- Accountable for hiring decisions, performance management, coaching, and succession planning.
- Builds a high-accountability culture rooted in transparency, performance, and collaboration.
- Ensures all staff are trained and proficient in EHR workflows, regulatory standards, and operational best practices.
- Promotes employee engagement and retention strategies.
- Accountable for patient experience outcomes and service recovery processes.
- Ensures culturally responsive,equitable, and inclusive care delivery practices.
- Oversees sliding fee scale implementation and compliance.
- Monitors patient complaints, grievance trends, andimplementssystem-level improvements.
- Partners with clinical leaders to improve care coordination and interdisciplinary collaboration.
- Ensures full compliance with HRSA scope of project requirements and applicable regulatory standards.
- Leads readiness planning and execution for Operational Site Visits and state regulatory inspections.
- Oversees infection control, safety, incident reporting, and risk mitigation processes.
- Ensures facilities and equipment are properlymaintainedand documented.
- Leads emergency preparedness planning and drills.
- Serves as the operational model site for process standardization and best practices.
- Participates in enterprise-wide operational initiatives.
- Contributes to cross-functional strategic projects and performance improvement initiatives.
- Bachelor’s degree in Healthcare Administration, Business Administration, Public Health, Nursing, or related field required. Master’spreferred.
- Minimum 5–7 years of progressive leadershipexperiencepreferablyin an ambulatory or hospital healthcare setting.
