Job Scope

This position consists of routine work assignments with occasional variations. Requires the ability to meet deadlines while maintaining a high level of accuracy and confidentiality. Requires strong problem‑solving and conflict‑resolution skills. Works under moderate supervision with established procedures and guidelines.

Job Summary

Responsible for processing biweekly payroll, auditing payroll data, calculating adjustments, maintaining payroll records, and preparing payroll‑related reports. Serves as backup support for salaried and Canadian payroll processing.

Required Essential

Job Skills /Experience
  • Minimum of three years of payroll processing experience preferred.
  • Excellent data entry, 10‑key, and mathematical skills.
  • Proficient in Microsoft Excel and other business software applications.
  • Ability to maintain confidentiality.
  • Ability to communicate effectively with a diverse workforce.
  • Ability to prioritize and meet deadlines.
  • Detail oriented, organized, and capable of working independently.
  • Knowledge of payroll compliance requirements, wage and hour regulations, and payroll tax practices.
Required Essential Job Functions/Duties
  • Payroll Processing:
    Perform end‑to‑end processing of multi‑state biweekly payroll for hourly employees.
  • Compliance & Tax Management:
    Ensure accurate calculation and withholding of federal, state, and local taxes, as well as voluntary and involuntary deductions (e.g., medical benefits, 401(k), court‑ordered garnishments).
  • System Maintenance:
    Manage, update, and troubleshoot employee data within the payroll system, including rate changes, new hire setups, terminations, and department transfers.
  • Auditing and Reconciliation:
    Conduct routine pre‑ and post‑payroll audits to verify hours, rate changes, and retro‑pay calculations.
  • Employee Support:
    Serve as the primary point of contact for payroll inquiries, resolve discrepancies promptly, and explain payroll deductions and tax‑related matters in a professional and customer‑focused manner.
  • Reporting:
    Generate payroll, labor distribution, attendance, and related reports for management, Accounting, and Human Resources.
  • Other duties:
    Perform other duties and special projects as assigned by the payroll manager.
Desirable

Job Skills /Experience
  • Experience with an automated time collection system.
  • Experience processing multi‑union and multi‑state payrolls for organizations with 250+ employees.
  • Experience with Dayforce/Ceridian and DOS systems preferred.
  • Strong written and verbal communication skills with the ability to communicate professionally via email, telephone, and in person.
  • Familiarity with garnishment administration and payroll reporting requirements.
