OverviewThe Defense & Government Project Coordinator plays a critical role in executing and driving the administrative and logistics functions of D&G contracts. This position partners closely with Project Managers and Program Managers to ensure deadlines are met, compliance standards are upheld, and logistics operations stay ahead of schedule. The role is ideal for a driven, fast-moving, and highly responsive individual who thrives in environments with shifting priorities, pressing deadlines, and frequent interruptions.
Key Responsibilities- Drive execution of Defense & Government contract activities to ensure timelines and compliance requirements are met.
- Coordinate and expedite inbound and outbound shipments for multiple active projects simultaneously.
- Track and control logistics costs, identifying discrepancies and resolving issues quickly.
- Monitor shipment status, update ETDs, and aggressively follow up to prevent delays.
- Issue, manage, and maintain logistics documentation within IDM with strong attention to detail.
- Track parts orders and proactively coordinate with Purchasing to meet project deadlines.
- Manage incomplete or partial deliveries and push for timely resolution.
- Arrange domestic and international travel per PM direction, ensuring strict compliance with government requirements.
- Negotiate government-preferred hotel and rental rates with a focus on efficiency and cost control.
- Ensure all travel documentation (passports, visas, work permits, base access credentials) is valid and current.
- Coordinate shipment of toolboxes and equipment to job sites without disruption to project timelines.
- Maintain and update D&G inventory and stock records accurately and consistently.
- Analytical thinker who communicates in a factual, direct, and straightforward manner.
- Highly responsive and comfortable working in fast-paced, deadline-driven environments.
- Able to manage multiple priorities simultaneously while maintaining detailed accuracy.
- Decisive, proactive, and comfortable applying pressure to move projects forward.
- Adaptable and responsive to unexpected changes, disruptions, or shifting priorities.
- Strong mental stamina and capable of working extended hours when project demands require it.
- Detail-oriented with the ability to maintain compliance documentation under tight timelines.
- Proficient in ERP and CRM systems and comfortable navigating structured systems quickly and efficiently.
- High School Diploma or GED
- 3+ years of project coordinator experience
- Professional office environment utilizing standard office equipment.
- Frequent interaction with internal teams and external vendors.
- Work involves changing priorities, multiple concurrent deadlines, and periodic disruptions.
- Regularly required to communicate verbally and audibly.
- Frequently required to stand, walk, use hands for handling or typing, and reach with hands and arms.
