The Senior Administrative Assistant will provide high level administrative, clerical, and project coordination support to a busy executive as well as our Engineering and Technical Training teams.
Key Responsibilities:
- Coordinate clerical, project and administrative procedures within the Engineering and Technical Training departments
- Maintain, coordinate and manage all engineering project documentation including, waterfall, project concept worksheets, engineering reviews and sprint documents.
- Manage the VP of Engineering's calendar and assist with planning, travel arrangements and expense reporting
- Manage weekly time tracking reports for the Engineering staff, including recognizing and recording appropriate time to be charged to specific projects and ensuring deadlines are adhered to
- Coordinate and conduct meetings for department including the daily and project meeting schedules and keeping minutes
- Assists with Capital project and maintenance, budget tracking and reporting
- Maintains engineering R&D tax credit documentation and R&D historical and reference database
- Draft, proof and edit reports, correspondence and other documents as requested
- Schedule and coordinate classroom training including any external resources required, location, date/time, materials, and attendance
- Assist in the preparation of classroom documents and other company communication related to Safety and Training
- Maintain training records in the Learning Management System (LMS)
Background and Experience
Required:
- Minimum of 10 years previous experience supporting senior management. A background in project management is desirable
- Bachelor's degree or equivalent experience
- Highly efficient. A self-starter and fast learner with the ability to 'hit the ground running,' setting the standard for meeting and exceeding expectations
- Excellent interpersonal skills and the ability to handle sensitive and confidential information appropriately. The position requires confidence and assertiveness, with the ability to not be easily discouraged
- Proficient in Microsoft Office (Word, Outlook, PowerPoint, Excel, Visio)
- Excellent verbal and written communications skills
- Outstanding organizational skills, with the ability to prioritize and manage multiple projects simultaneously, meet and anticipate frequent deadlines in a timely manner
- Excellent attention to detail and proof reading skills and the ability to check documents for accuracy, clarity and consistency
