The Office Manager is responsible for the day‑to‑day office operations and front‑desk presence for the Kent, WA office, including employee and visitor support, mailroom and print coordination, facilities support, vendor coordination, office supplies, and employee engagement activities. This role serves as the Office Service Lead (OSL) and is the primary point of contact for employees, visitors, vendors, and guests. The role may also support Civil Operations, Human Resources, Marketing, Talent Acquisition, and other overhead functions as needed.
This is a fully in‑office role scheduled from 8:00 am – 4:30 pm PST.
- Serve as the primary front desk and office contact: greet employees, visitors, vendors, and guests; coordinate visitor access; answer and direct incoming calls; keep the reception area organized.
- Open and close the office each business day, ensuring workspace security, equipment power status, and readiness for staff and visitors.
- Provide daily support to the Kent workforce: monitor supplies, shared resources, breakrooms, conference rooms, and general workplace needs.
- Coordinate Kent office events and employee engagement activities, including travel, meetings, interviews, celebrations, and workplace gatherings in collaboration with Human Resources and Marketing.
- Supervise mailroom and print support; oversee incoming/outgoing mail, package handling, shipping, receiving, courier coordination, tracking, and delivery needs between offices, job sites, and external locations.
- Coordinate facilities and workplace operations: vendor visits, maintenance requests, deliveries, scheduling, and follow‑through to completion.
- Maintain organized records and identify process improvements for office services, mailroom and shipping activity, engagement activities, vendor and facilities coordination, and overall office operations.
- Communicate regularly with the supervisor and any direct reports regarding office needs, service issues, staffing coordination, and operational priorities.
- Perform other duties as assigned.
- High school diploma or G.E.D. required; associate degree preferred.
- Commissioned Notary Public or ability to obtain certification within 30 days of hire.
- 5–10 years of experience in office administration, office management, front‑desk operations, employee support, facilities coordination, or a related office services role.
- Prior experience in architecture, engineering, construction, interior design, energy, or professional services environments preferred.
- Experience coordinating office events, meetings, vendors, shipping and receiving, workplace requests, supplies, and general office operations.
- Experience providing day‑to‑day direction or supervision to administrative, mailroom, facilities, or office support staff.
- Proficiency with Microsoft Office and standard office equipment (computers, phones, printers, copiers, scanners, postage equipment).
This is a fully in‑office role based in Kent, WA, scheduled from 8:00 am – 4:30 pm PST.
