Position: Administrative Coordinator / Senior Administrative Coordinator - COMAI

Position Overview

The Communications Department (COM) at the IMF is looking for an experienced administrative coordinator to support a Deputy Director and other senior staff in the Front Office. The role requires a fast‑paced, initiative‑driven individual capable of handling complex schedules, communications, and administrative processes for the department.

Responsibilities
  • Calendar, Scheduling, and Travel Coordination: Organize and manage complex schedules; maintain calendars of appointments; manage departmental email groups; arrange travel; provide guidance on Travel Information Management System (TIMS) entries.
  • Document Preparation and Communications Support: Prepare briefing materials; format memos; draft documents; proofread and edit; ensure correct grammar, spelling, punctuation, and Fund style compliance.
  • Operational Coordination and Process Improvement: Provide procedural guidance to junior staff; coordinate department‑wide administrative processes; contribute to workflow‑efficiency procedures; offer training and feedback to assistants.
  • Events, Coverage, and General Administrative Support: Coordinate off‑site meetings and retreats; collaborate with IT, Corporate Services and Facilities for Town Halls, Brown Bag sessions, and other events; handle expense reporting; support other divisions and teams as needed; provide coverage during absences or periods of increased workload.
Qualifications
  • High‑school diploma or equivalent, plus a minimum of six (6) years of relevant experience (minimum two (2) of those years in a lead role for external candidates).
  • Proven ability to manage a complex, demanding workload, work under pressure, meet short deadlines, and balance overlapping requests.
  • Excellent interpersonal and communication skills; ability to engage with colleagues and work well as part of a team.
  • First‑class organizational skills and the ability to handle sensitive matters with good judgment and diplomacy.
  • Excellent oral and written communication skills, and ability to interact effectively with Fund staff and external contacts at all levels.
  • Thorough knowledge of the Fund’s administrative procedures and policies.
  • Superior proficiency in Fund standard software packages, including databases.
  • Flexibility regarding working hours.
