Service Coordinator
Overview
- Partnering with a growing, operations-focused company supporting field-based service teams
- Plays a central role in coordinating jobs, resources, and logistics from quote through completion
- Highly cross-functional position working with technicians, internal teams, and customers
- Based on-site in the South Puget Sound region
- Core operations role responsible for scheduling, coordination, and job execution support
- Acts as the hub between field teams, internal departments, and customers
- Ideal for someone who thrives in a fast-paced, detail-driven environment with multiple moving parts
- Schedule and dispatch service jobs based on technician availability, skillset, and urgency
- Adjust schedules in real time to account for changes, delays, or resource constraints
- Coordinate parts, tools, and materials with purchasing and warehouse teams
- Ensure all equipment and materials are ready for job execution
- Arrange travel logistics for technicians when required
- Coordinate shipments and transportation of materials and equipment to job sites
- Communicate with customers regarding quotes, scheduling, and updates
- Prepare and send quotes, and follow up for approvals prior to scheduling
- Conduct post-job follow-up with technicians to capture feedback and job details
- Ensure all service documentation is accurate and complete
- Prepare job data for billing, including labor, materials, and parts used
- Track and account for inventory usage within internal systems
- Support reporting on scheduling, job completion, and operational performance
- Identify opportunities to improve processes and efficiency
Required
- 5+ years of experience in scheduling, operations coordination, or administrative support
- Strong proficiency in Microsoft Excel, including data organization and basic analysis
- Experience working with scheduling or inventory management systems
- Exceptional attention to detail and organizational skills
- Strong communication skills with a customer-focused approach
- Ability to manage multiple priorities in a fast-paced environment
- Problem-solving mindset with a proactive approach
- Experience supporting field service, technical teams, or warehouse operations
- Familiarity with procurement, inventory tracking, and billing processes
- Ability to work cross-functionally with multiple stakeholders
- Base salary: $60,000 to $75,000 depending on experience
