The ideal candidate will jointly drive project management and operations within the School of Computing (SoC). You will co‑lead and coordinate facilities projects for specialised research environments, such as wet laboratories, dry laboratories, and clean rooms, as well as general spaces like offices, teaching spaces and support areas. You are expected to have hands‑on experience as part of a project team delivering laboratory renovation and fit‑out works in different types of spaces.
In parallel, you will handle key operational functions such as smartcard/door access administration, maintenance coordination with university‑level estates administration, planning of projects, and event logistics support. You will need to work closely with internal stakeholders and vendors to ensure that works are carried out safely, efficiently, and with minimal disruption to daily operations at the school.
Main Responsibilities- Prepare or update basic floor plans and lab layouts using AutoCAD or similar tools, and support procurement activities for furniture, fittings, lab‑related items, and services.
- Co‑manage facility projects (renovations, add‑and‑remove, infrastructure upgrades, relocations, space reconfiguration) for specialised research environments such as wet labs, dry labs, and clean rooms, as well as office and teaching spaces.
- Plan and deliver projects end‑to‑end (scope, schedule, budget inputs, risks), coordinating with users, CAM AE, consultants, and contractors, and follow through with on‑site supervision, testing & commissioning, defect rectification, and handover.
- Ensure compliance with safety, fire code, lab requirements, and building regulations, including fire safety checks, drills, and audits, and plan for shutdowns, noisy works, and high‑risk activities.
- Provide day‑to‑day building facilities support within SoC, including coordination of maintenance activities with CAM AE and contractors, and oversight of cleanliness, safety, and general upkeep of premises.
- Administer door access / smartcard and key control, track and manage job tickets/requests, and ensure timely response and proper documentation.
- Provide event operations support, including venue preparation, space allocation, logistics coordination, vendor liaison, and managing back‑to‑back event transitions.
- Support space planning and management, process and system improvements (e.g., digitalisation of workflows), and participate in policy/SOP review and enhancement.
- Perform standby duties and emergency response outside office hours and on weekends, according to the duty roster.
- Support after‑hours works when required (e.g., pre‑shutdown preparation, shutdown, recovery, fire certification and other inspections).
- Diploma or degree in Real Estate, Facilities Management, Building & Infrastructure Services, Infrastructure & Project Management or a related field.
- At least 10 years of relevant experience in facilities or building management, including involvement in project works (e.g., renovations, add‑and‑remove, infrastructure improvements). Candidates without formal qualifications but with strongly relevant experience (more than 15 years) may also be considered.
- Strong laboratory project exposure as part of a project management/coordination team, with hands‑on involvement in wet lab, dry lab and/or cleanroom renovation or fit‑out projects.
- Good understanding of M&E systems (HVAC, BMS, EL, ELV), space and venue management, event logistics, and institutional/campus operations.
- Sound knowledge of fire safety codes, WSH requirements, and relevant building regulations and standards.
- Strong project management, organisational, and stakeholder coordination skills, with experience in basic budgeting, scheduling, and risk awareness.
- Proficient in Microsoft Office, familiar with project tracking or ticketing systems; basic AutoCAD skills for plans and layouts are beneficial.
- Strong interpersonal and communication skills, able to work effectively with academic staff, students, contractors, and vendors, both independently and as part of a multidisciplinary team.
- Willing to perform standby and after‑hours duties, including evenings and weekends, when operationally required.
