The Role

The Human Resources Specialist serves as a key member of the HR Team and is responsible for administering employee lifecycle transactions, supporting compliance initiatives, maintaining HR documentation and policies, and ensuring accurate HR records and systems. This position will execute employee changes, terminations, compliance reports, audits, SOP development, Employee Handbook updates, Union Wage Rate administration, and other critical HR operational processes.

The ideal candidate is highly organized, process-oriented, and passionate about delivering exceptional internal customer service while maintaining strict attention to detail and compliance.

Responsibilities Employee Lifecycle Administration
  • Process all new hire transactions, onboarding documentation, and HRIS & ADP updates.
  • Partner to coordinate and facilitate New Hire Orientation.
  • Process employee status changes, including:
    • Promotions
    • Transfers
    • Compensation changes
    • Department changes
    • Supervisor changes
    • Work location changes
  • Process voluntary and involuntary terminations.
  • Conduct exit interviews and identify trends for continuous improvement.
HR Compliance & Auditing
  • Conduct routine audits of employee files, HR records, and HRIS data.
  • Audit I-9 documentation and employment eligibility records.
  • Ensure compliance with federal, state, and local employment regulations.
  • Support internal and external HR compliance reviews and audits.
  • Assist with affirmative action, EEO, OFCCP, and related reporting requirements.
  • Monitor document retention practices and HR recordkeeping standards.
HR Information Systems & Data Management
  • Maintain accurate employee data within HRIS and ADP payroll systems.
  • Audit employee records for completeness and accuracy.
  • Generate HR reports, workforce analytics, and employee data reports.
  • Assist with HR system enhancements, testing, and process improvements.
  • Support HRIS data integrity initiatives and data cleanup projects.
Employee Handbook & Policy Administration
  • Maintain and update the Employee Handbook.
  • Assist with Policy management.
  • Assist in drafting and revising HR policies, procedures, forms, and communications.
  • Ensure consistency across policies, procedures, and business practices.
SOP & Process Documentation
  • Create, maintain, and improve Human Resources Standard Operating Procedures (SOPs).
  • Develop process maps, checklists, job aids, and workflow documentation.
  • Identify process inefficiencies and recommend improvements.
  • Drive standardization and best practices within HR operations.
Union Workforce Administration
  • Administer mass union rate updates.
  • Audit union pay rates and classifications for accuracy.
  • Coordinate with Payroll and Operations to ensure proper implementation of rate changes.
Employee Relations Support
  • Respond to employee inquiries regarding HR processes and policies.
  • Support managers with employee documentation and procedural guidance.
