Senior Executive/Executive (Venue Management)
Job Description
- Manage and maintain good relationships with internal and external hirers for events, conferences, roadshows, seminars, training, etc., ensuring their requirements and expectations are met.
- Conduct site visits with potential hirers.
- Prepare timely quotations, booking agreements, etc. for hirers.
- Ensure monthly revenue and utilization targets are met.
- Compile monthly reports on revenue, utilization, and hirers’ profile.
- Liaise with housekeeping and security to ensure all events are conducted smoothly.
- Handle feedback and enquiries.
- Handle internal and external billings and collections promptly.
- Handle all procurement‑related issues such as issuing purchase orders and processing contractor invoices in a timely manner.
- Manage event timelines, ensuring that all details, including setup, breakdown, and event flow, are executed efficiently.
- Conduct post‑event evaluations to gather feedback, assess success, and identify opportunities for improvement.
- Work with the maintenance office to ensure proper upkeep and maintenance of the facilities.
- Oversee the implementation of health and safety protocols, including emergency preparedness plans for each event.
- Liaise with the booking system vendor for changes or enhancements to the system.
- Any other related duties as assigned.
- Degree in a related field.
- At least 3 years of proven experience in event management.
- Excellent communication, partnership, collaboration, and project management skills.
- Strong time management and multitasking abilities, flexibility, and professional confidence.
- Ability to effectively handle multiple project requests in a fast‑paced environment.
- Familiarity with CRM and management software, including proficiency in MS Office applications.
