The Accounts Payable Clerk is responsible for processing all invoices received for payment and for undertaking the payment of all creditors in an accurate, efficient, and timely manner.

The Accounts Payable Clerk is responsible for processing all invoices received for payment and for undertaking the payment of all creditors in an accurate, efficient, and timely manner. Works cohesively with the finance team to make sure accounts payable processes are followed accurately and in compliance with SFPHA Policies and Procedures. Will work under the supervision of the Finance Supervisor and in cooperation with the Financial Consultant engaged by SFPHA.
Duties will include, but are not limited to, receiving, opening, and logging invoices on the ledger, as well as other duties like bank reconciliation, accounts payable invoice and date entry, and providing expense reports.
- Responsible for processing all outgoing payments in compliance with SFPHA Financial Policies and Procedures.
- Performs day to day financial transactions, including verifying, classifying, and recoding accounting payable data.
- Verifies and investigates discrepancies, if any, by reconciling vendor accounts and monthly vendor statements.
- In coordination with the Financial Consultant, implement policies, programs, and practices in accordance with federal, state, and tribal laws, regulations, and guidelines.
- Under the guidance of the Financial Consultant, participate in reviews/audits performed by the U.S. Department of Housing and Urban Development (HUD) and other oversight agencies.
- Must understand compliance issues around accounts payable processes (W-9, sales tax, etc.).
- Ability to obtain working knowledge of the U.S. Department of Housing and Urban Development (HUD) Indian Housing Program and other Federal Housing programs.
- Preparation of all accounts payable coding, checks and documentation, and the assignment of entries to proper accounts.
- Facilitates payment of vendors, which may include verification of federal , reviewing contracts or estimates, and resolving discrepancies.
- Perform all accounts payable month end and year end duties.
- Set up, coordinate, and maintain vendor files for compliance.
- Review and ensure that adequate insurance coverage is maintained for all jurisdictions and responsibilities of SFPHA.
- Perform other duties as assigned by the Executive Director.
A combination of High School and GED Diploma required;
Associate’s Degree (A.A.) or Bachelor’s Degree preferred; or four-five years related experience and/or training; or equivalent combination of education and experience. Experience in MIP Accounting Software is preferred. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily and preferable have experience working with Tribes or Tribal Governments. The requirements listed above are representative of the knowledge, skill, and/or ability required.
Current New Mexico driver’s license is required.
The San Felipe Pueblo Housing Authority is handicap accessible and the work environment is conducive to normal physical demands. Incumbent will be required to lift, stoop, walk and carry office supplies/materials. The majority of work is indoor with some outdoor tasks from time to time. Working hours are from 8:00 AM to 5:00 PM Monday through Friday. Some evening or weekend work may be required by the Executive Director.
