RBM Holdings is a growing New York City real estate company that owns and manages a portfolio of residential apartment buildings throughout the five boroughs.
We are looking for a Property Management Administrator to join our team and provide administrative and accounting support to our property management operations.
About the RoleThis position works closely with our onsite property managers and ownership to keep the administrative and financial operations of our properties organized and running smoothly. The role focuses on maintaining accurate tenant and property records, supporting rent and payment tracking, processing invoices and reconciliations, and handling day-to-day accounting tasks in Quick Books.
You will also assist the onsite property managers with tenant paperwork, lease administration, housing agency documentation, and other administrative needs.
This is a good fit for someone who is organized, detail-oriented, comfortable working with numbers, and experienced with Quick Books
, while also being able to communicate professionally with tenants, vendors, and housing agencies.
- Use Quick Books to support day-to-day property accounting and bookkeeping.
- Maintain tenant ledgers and track rent payments and outstanding balances.
- Process invoices and assist with accounts payable and receivable.
- Assist with bank reconciliations and other accounting tasks.
- Maintain accurate financial and property records.
- Organize and maintain tenant files, leases, and related documentation.
- Work closely with onsite property managers to ensure administrative tasks and paperwork are completed accurately and on time.
- Assist with move-ins, move-outs, lease renewals, and related documentation.
- Communicate with tenants regarding paperwork, payments, documentation, and other administrative matters.
- Assist with HRA, CityFHEPS, Section 8, and other housing program documentation and correspondence.
- Communicate with housing agencies and follow up on outstanding documentation when needed.
- Maintain accurate tenant information in Buildium, Excel, and other systems.
- Assist property managers with vendor communications, records, and other administrative tasks.
- 3–6 years of experience in property management, real estate administration, accounting/bookkeeping, or a related field.
- Hands-on experience with Quick Books is required.
- Experience with property-related accounting or bookkeeping, including tenant ledgers, rent/payment tracking, invoicing, reconciliations, or similar functions.
- Residential property management experience is strongly preferred.
- Familiarity with HRA, CityFHEPS, Section 8, or other NYC housing programs is a plus.
- Experience with Buildium or another property management system is a plus.
- Strong proficiency in Microsoft Excel, Outlook, and Word

- Strong written and verbal communication skills.
- Ability to work independently while collaborating closely with property managers and ownership.
- Professional, dependable, and comfortable handling confidential financial and tenant information.
- Starting salary of $65,000+, based on experience
