Accounts Receivable​/Accounts Payable Specialist

Mainline Services is a 24/7 railroad and industrial emergency response company, and our business office keeps that work moving. We are seeking a high-energy, results-driven AR/AP Specialist to own both sides of the ledger: applying payments, driving collections, processing vendor and subcontractor invoices, and keeping records accurate and audit-ready. Emergency jobs bring new customers, rush payments, and heavy field documentation with little notice, so this role suits someone who enjoys a fast pace and wants their work to make a visible impact.

• High-volume AR and AP work, with priorities that shift as emergency jobs come in.
• Firm deadlines around payment runs, collections, and month-end close.
• Occasional extended hours during month-end, year-end, and major response events (overtime eligible).

Accounts Receivable

• Apply customer payments (ACH, check, wire) accurately and promptly; research and clear unapplied cash, short pays, and other discrepancies.
• Work aging reports and follow up on past-due balances until resolved.
• Resolve invoice disputes with Billing, Operations, and customers, and follow each through to closure.
• Set up and maintain customer accounts, including short-notice setups for emergency work.
• Prepare weekly and monthly AR aging and collections reporting.

Accounts Payable

• Review, code, and enter vendor and subcontractor invoices, verifying against POs, field tickets, and approvals.
• Track down missing documentation from field crews and vendors, and resolve discrepancies before payment.
• Prepare vendor payments, including time-sensitive emergency payments, within established approval controls.
• Reconcile vendor statements; research duplicates, pricing issues, and missing credits.
• Maintain vendor records, including W-9s and payment information, and respond promptly to vendor inquiries.

Close & Support

• Reconcile AR and AP accounts and support month-end and year-end close.
• Provide documentation for audits and follow established internal controls.
• Recommend process improvements and provide backup support across Commercial Operations as needed.

• 2+ years of AR, AP, bookkeeping, or accounting support experience; experience with both AR and AP strongly preferred.
• Experience in railroad, emergency response, construction, transportation, or field services is a plus.
• Working knowledge of accounting principles and AR/AP processes.
• Proficiency in Excel and Microsoft Office.
• Experience with an ERP or construction/job-cost accounting system (such as Computer Ease, Sage, Viewpoint, or Foundation) is a plus; we will train on our system.
• Accuracy and attention to detail while handling high volume under tight deadlines.
• High energy, a sense of urgency, and a self-starter mindset that follows issues through to resolution.
• Ability to reprioritize quickly and work occasional extended hours.
• Professional communication skills, including confidence following up on past-due balances.
• Discretion with confidential financial information.

Payments are applied promptly, past-due balances are trending down, vendors are paid accurately and on schedule, close deliverables are on time, and no discrepancy sits unresolved.
