Job Summary

Responsible for accurate and quality document preparation, document scanning, data entry, and quality assurance of scanned documents. Performs daily processing following established procedures.

Responsibilities
  • Receive and organize incoming documents by type, distributing them to the appropriate staff or location.
  • Process documents accurately into the electronic document management system and/or electronic health record.
  • Prepare documents for scanning by determining logical breaks, unitizing hard‑copy documents, disassembling prior to scanning, and reassembling afterward.
  • Review paper and electronic documents to identify errors, missing indexing elements, and cover sheets.
  • Accurately process batches of documents across all systems and ingestion methods.
  • Utilize scanning software to create batches and apply the appropriate batch class and scanner settings to ensure proper filing.
  • Track daily prep, scanning, quality control, validation, and quality assurance productivity via spreadsheets for statistical reporting.
  • Demonstrate proficiency in all processes and meet the department’s production rate standards.
  • Identify and troubleshoot necessary maintenance of scanning equipment and resolve malfunctions.
  • Perform repetitive tasks with a high degree of accuracy.
  • Provide support to other team members as needed.
  • Maintain discretion in accordance with HIPAA guidelines.
  • Work in an office environment.
  • Comply with all organization policies and procedures and fulfill all job‑specific obligations.
Qualifications
  • High School Diploma or GED required.
  • Minimum of 3 years of related work experience required.
