Basic Purpose

Positions in this job family involve document production and management through manual or technological processes. Duties include preparing correspondence, reports, maintaining filing systems, reviewing and processing applications for permits or licenses, assisting agency customers with inquiries, processing claims, requisitions, purchase orders, and invoices.

Typical Functions
  • Maintains a variety of records, including perpetual inventories of supplies and materials, statements of expenditures, and reconciles departmental records with central records.
  • Prepares correspondence, forms, and reports; initiates and handles correspondence for special fields or programs regarding agency rules, policies, or procedures.
  • Performs sorting and filing tasks, answers phones, takes messages, disseminates information, and delivers mail.
  • Produces documents of varying complexity, from plain copy typing to complex presentations.
  • Enters and retrieves information using personal computers; reviews coded and uncoded source documents, proofs data, and makes corrections.
  • Examines, checks, and verifies reports and documents for completeness and conformity to established requirements, following up on discrepancies.
  • Maintains an inventory of equipment and supplies; receives or delivers materials and equipment.
  • Supervises staff and activities involved in specialized or technical work, developing procedures and training staff.
  • Reviews and processes claims from vendors, contractors, medical providers, and others for reimbursement or payment.
  • Assists customers in obtaining needed information and documents, conducting interviews, and providing transportation or assistance as required.
  • Performs other related duties as assigned consistent with agency operations.
Education and Experience

At least two years of clerical office experience, or an equivalent combination of education and experience.

Knowledge, Skills, Abilities and Competencies
  • Knowledge of office methods, grammar, punctuation, spelling, mathematics, charts and graphs, basic bookkeeping, inventory techniques, telephone procedures, standard business communications, and current office technologies.
  • Skill to operate office machines including computers.
  • Ability to follow oral and written instructions, establish and maintain effective working relationships, maintain filing systems, and prepare documents and reports for external dissemination.
  • Proficiency in the English language to perform essential functions.
