Job Description ADMINISTRATIVE SECRETARY I (Program Assistant)

QUALIFICATIONS: 1. High School diploma or equivalent.
2. Additional qualifications as the Superintendent or Board may find appropriate and acceptable.

REPORTS: Superintendent/Designee

SUPERVISES: Not Applicable

JOB GOAL
:
To create a pleasant, professional atmosphere while efficiently administering secretarial and clerical duties. To assist the Program Director in all matters related to the duties or functions of the office.

BASIC FUNCTION
:
To perform specialized and responsible secretarial and administrative support duties for the District Program Director.

PERFORMANCE RESPONSIBILITIES
  • Performs a wide variety of specialized and responsible duties independently in support of functions delegated to an assigned Program Director; interprets and applies rules and regulation as appropriate.
  • Coordinates communication between the Administrator and District personnel, students, Educational Institutions, vendors, other outside organizations, and the public; obtains and provides information, coordinates activities, and resolves problems.
  • Researches, reviews, checks, corrects, and compiles a variety of information; verifies data for accuracy, completeness and compliance with established procedures; inputs and retrieves computerized data in computer systems as required; submits required reports in a timely fashion.
  • Prepares and maintains a variety of records, logs and files, as required by law and the office, including information of a confidential nature; maintains confidentiality of information and records.
  • Schedules meetings, conferences, and appointments for assigned Administrators; maintains Administrators calendar; arranges travel accommodations as necessary.
  • Compiles information and data for a variety of reports; organizes, types, and prints reports and other written materials related to assigned office functions.
  • Coordinates and compiles Board Agenda materials.
  • Responds to requests for information from staff, and the general public regarding District programs, policies, procedures and regulations.
  • Prepares a wide variety of materials such as correspondence, reports, contracts, forms, applications, memoranda, and other documents.
  • Remains abreast of changes in policy or regulations relative to the operation of the program or office; participates in training activities as required by the Supervisor or State department.
  • Receives, processes, and routes mail; orders, issues, and maintains department supplies, forms and equipment.
  • Trains and provides work directions to department clerical support staff as assigned; monitors office overflow, and assures compliance with established time lines, procedures and standards of quality.
  • Manages program affairs in the absence of the Program Director.
  • Performs such other tasks and assumes such other responsibilities as may be assigned by the Superintendent/Designee.

TERM OF SERVICE
:
Salary and workdays/jobs to be established by the Board.

EVALUATION: Performance of this job will be evaluated in accordance with provisions of the Board’s policy on Evaluation of Classified Personnel.
