Job Summary
The Registrar Assistant will report directly to the Registrar and provide high-quality customer service and administrative support to students, faculty, staff, alumni, and external constituents. The role includes managing registration, student records, transfer credit, transcripts, degree audits, and other operational functions while ensuring compliance with University policies and applicable regulations.
Responsibilities- Answer the main phone line and connect students and office guests with the appropriate personnel.
- Respond to questions and requests from faculty, staff, and students.
- Work collaboratively as part of a team and interact effectively with colleagues, administrators, faculty members, students, and external constituents.
- Demonstrate familiarity with the needs of students across a diverse student population.
- Understand the institution’s academic policies and student recordkeeping policies.
- Maintain a general understanding of various recordkeeping methods and the related systems.
- Be knowledgeable about policies and practices governing access to student records by campus constituents and outside agencies.
- Maintain a general understanding of registration, transcript production, course and classroom scheduling, faculty grading, and related processes.
- Assess educational system patterns and evaluate educational records.
- Enter information into articulation templates or databases and communicate transfer agreements with faculty, staff, parents, and other institutions if applicable.
- Explain the transfer process, answer questions about degree programs, transfer credit, graduation requirements, Final date to receive applicationss, and related policies if necessary.
- Respond to inquiries from internal and external partners, understand communication between departments regarding transfer students, and direct students to the appropriate department.
- Assist with University commencement ceremonies.
- Demonstrate a functional understanding of institutional requirements for degree or certificate completion.
- Utilize the degree audit system and other institutional processes to verify that students have fulfilled graduation requirements.
- Demonstrate a basic understanding of office operations.
- Perform other duties as assigned.
- High school diploma or equivalent required.
- Ability to communicate and interact effectively with individuals and groups.
- Excellent telephone etiquette with a polite, friendly, and professional demeanor.
- Demonstrated proficiency with Microsoft Office and similar productivity software, including Excel.
- Initiative, resourcefulness, dependability, and the ability to work independently.
- Previous customer service experience.
- Strong problem‑solving skills and the ability to develop practical solutions.
- Basic understanding of student information systems, databases, document imaging, and workflow processes.
- Ability to work a flexible schedule; availability for occasional weekend work as office hours and work schedules are based on student needs.
- Associate or bachelor’s degree preferred.
- Previous experience working in higher education.
- Experience in a Registrar’s Office, Admissions, Student Services, or a related academic support office.
- Experience using Workday Student or another Student Information System (SIS) such as Banner, Colleague, Jenzabar, or People Soft.
- Experience maintaining student records, processing registration transactions, transfer credit, degree audits, or graduation applications.
- Knowledge of FERPA and student records privacy regulations.
