Position Summary
Provide executive administrative support to at least two Principals, three‑to‑four Vice Presidents, and ten‑to‑twelve Associates within our Alp Invest Secondaries team, while coordinating all meeting and travel logistics for the group.
Primary Responsibilities- Maintain calendars, contacts, and tasks primarily using Microsoft Office.
- Schedule and coordinate internal and external meetings and events, including tracking attendance, registering and greeting guests, and managing catering.
- Arrange complex domestic and international travel (flights, car service, conferences, and client meetings); troubleshoot any issues that arise, including after hours and weekends.
- Coordinate and prepare materials for Investment Committee meetings and other working sessions, compiling back‑office Excel documents and ensuring agendas and packs are distributed on Fridays.
- Process expense reimbursements via Concur, working with Accounts Payable for timely payments and foreign‑currency conversions.
- Perform general administrative duties: correspondence, file organization, data entry, contact list maintenance, and preparation and printing of pre‑meeting materials.
- Support audio/visual setups with IT for remote and in‑office meetings.
- Order office supplies and manage deliveries, including receiving guests at the office reception.
- Assist with special projects and proactively anticipate work assignments.
- Maintain confidentiality of all sensitive information and build professional relationships across Carlyle offices worldwide.
- Bachelor's degree strongly preferred.
- 5–7 years of professional experience supporting senior executives in a corporate environment.
- Excellent Microsoft Office skills (PowerPoint, Word, Excel).
- Highly organized and proactive with a willingness to go the extra mile.
- Strong prioritization skills – able to juggle multiple urgent tasks under tight deadlines.
- Self‑motivated and able to work independently with minimal supervision.
- Excellent written and verbal communication skills.
- Strong attention to detail, positive attitude, and team‑player mindset.

Location & Work ArrangementPosition based in the New York office, requiring presence at least four days per week with flexibility on Fridays.
