Position Summary

The principal responsibility of this position is to provide executive administrative support to members of the Client Solutions Group including two Managing Directors, one Senior Advisor, two Principals, and one Vice President with the potential for expanded coverage as needed.

Primary Responsibilities
  • Proactively maintain calendar and tasks through Microsoft Office.
  • Schedule and coordinate internal and external meetings and events, including tracking attendance, registering and greeting guests, ordering, setting up and taking down catering in meeting rooms.
  • Coordinate complex domestic and international travel arrangements, including flights (commercial and private), hotel reservations, car service, client and internal meetings, and events; check managers into flights, track flights and weather, troubleshoot travel problems, including after hours or weekends.
  • Book conference rooms, lunch/dinner reservations, plan team events and assist with team conferences.
  • Support planning and execution of investor‑facing and non‑investor facing events, meetings, trainings and conferences.
  • Manage the invitation process for investor meetings, including creating invite lists, tracking RSVPs and ensuring appropriate follow‑up.
  • Coordinate meeting logistics, including venue setup, virtual meeting platforms and necessary documentation.
  • Track and provide coverage of all relevant global conferences, ensuring appropriate participation from the Executive Office and investor relations team.
  • Assist in managing executive attendance at key events and prepare relevant materials.
  • Expense management: review, edit and complete expense reimbursement reports monthly (including foreign currency conversions) primarily using Concur, work with AP for timely payments and track reimbursements.
  • Perform general administrative and office tasks including correspondence, file organization, data entry, maintaining contact lists, processing documents and archiving.
  • Provide general administrative support such as copying, filing, faxing, printing and shipping presentation materials to ensure availability for on‑site and travel use.
  • Collaborate with IT to ensure audio/visual components are set up and functional before meetings.
  • Order office supplies and retrieve guests/deliveries from office reception.
  • Assist with special projects as needed and proactively anticipate assignments.
  • Maintain confidentiality of all sensitive and confidential issues.
  • Build strong professional relationships with colleagues in all Carlyle offices worldwide.
Education & Certificates

Bachelor’s degree strongly preferred.

Professional Experience
  • At least 5–7 years of experience in a professional, corporate environment supporting C‑suite professionals.
  • Excellent Microsoft Office skills (Outlook, Word, PowerPoint, Excel).
  • Knowledge of CRM database (Deal Cloud) is a plus.
  • Roadshow experience is a plus.

Benefits/Compensation
  • Anticipated base salary range: $120,000 to $125,000.

  • Eligibility to participate in an annual discretionary incentive program, dependent on performance.
