ESSENTIAL JOB FUNCTIONS
- Front‑desk/reception functions: meeting and greeting clients and visitors, answering multi‑line switchboard, forwarding calls to voicemail or appropriate staff member, taking and delivering messages.
- Check‑in clients, including verifying demographic information, collecting and documenting payment, notifying clinician upon arrival, and reconciling cash drawer.
- Schedule client appointments; copy, sort, and deliver mail; send and receive faxes; meet with clients to explain and assist with signing intake forms; handle difficult customer service interactions face‑to‑face or by telephone.
- Enter client data into the electronic information system, client eligibility information, and other program‑specific data such as grants into various databases.
- Provide HIM‑related support to the Health Information staff as needed.
- File and maintain correspondence, records, reports, and other documents related to the site’s operations.
- Perform administrative functions such as typing, data entry, generating requisitions for items (business cards, training registration fees, office furniture), and taking minutes of meetings.
- Run miscellaneous and monthly/quarterly reports; assess validity of reports; correct inaccuracies; take action on results; coordinate the work site’s IT functions as needed.
- Participate in daily deposit process, including daily deposit reconciliation.
- Monitor inventory of office supplies and order supplies as needed.
- Coordinate medical‑treatment related administrative functions, including lab appointments.
- May act as liaison with the Properties department, submitting work orders and communicating site needs.
- May serve as Infection Prevention Representative, monitoring supplies, attending meetings, and communicating prevention measures to staff.
- High School Diploma.
- Completion of up to 18 months of business school beyond high school preferred.
- Three to four years of experience working in an office setting and performing administrative tasks.
