We are seeking a dedicated and detail-oriented Building Information Specialist – High School to manage student records, ensure data integrity, and provide essential administrative support within our high school.
Job SummaryThe Building Information Specialist – High School is responsible for managing and maintaining accurate student records, overseeing academic and attendance files, and serving as a liaison to the District Information Technology Department. This role also involves registrar duties during summer and other times as needed.
Key Responsibilities- Schedule Management: Assist in developing and maintaining the master class schedule, ensuring accuracy in student course assignments and class sizes.
- Transportation Coordination: Collaborate with the transportation department to ensure the accuracy of student information for safe and efficient bus routes.
- Meeting Attendance: Attend department meetings, workshops, and seminars to gather and convey necessary information.
- Student Course Requirements: Inform appropriate personnel of possible student course deficiencies to address course requirements effectively.
- Data Entry: Input transfer grades and other student information to ensure data accuracy in the student information system.
- Professionalism: Maintain professionalism in all interactions to contribute to a positive school environment.
- Record Maintenance: Manage manual and electronic documents, including grades, transcripts, and standardized test scores, ensuring compliance with administrative guidelines and legal requirements.
- Document Preparation: Prepare standardized documents and reports, such as transcripts and verifications, to communicate information to various parties.
- Pre-Registration and Scheduling: Process pre-registration for spring, scheduling, and counselor assignments to meet enrollment requirements.
- Secretarial Support: Provide preliminary secretarial support to the District’s summer school program and assist with school functions and administrative support.
- Inquiry Response: Respond to questions from internal and external sources, providing information and direction as needed.
- Administrative Support: Support teachers, parents, and students to ensure effective communication and completion of administrative functions.
- Education: High school diploma or equivalent.
- Experience: Relevant job-related experience is required.
- Skills: Proficiency in operating standard office equipment and software; strong record-keeping and data analysis skills.
- Knowledge: Basic math skills; understanding of student enrollment, graduation, and transfer processes; familiarity with relevant regulations and office practices.
- Abilities: Ability to manage multiple tasks, work with diverse groups, handle frequent interruptions, and solve problems with attention to detail.
