Position Description

The Operations Support Specialist (VA) provides on-site operations support to the Program Manager (PM) and the overall organization at Quantico/Stafford, Virginia, in support of the PAE Marine Corps contract. The individual manages access and custody documentation, maintains organizational records and calendars, prepares leadership read and briefing materials, and coordinates onboarding support for personnel assigned to the program office.

Essential Position Functions

  • Prepare, track, and report all System Authorization Access Requests (SAAR) and Custody Management Reports (CMR) within the Program Office.
  • Provide a summarization of SAAR and CMR actions requested and taken.
  • Scan, shred, and fax documents in support of the program office.
  • Prepare an organizational command chronology and update it monthly.
  • Pick up mail at the PAE Marine Corps mail room and deliver official Government mail to the intended addressee.
  • Maintain and organize electronic files via the organizational shared drive in support of the program office.
  • Maintain electronic calendars for the organization's leadership.
  • Process and submit facility requests in support of the program office promptly upon receipt of the task.
  • Collect and consolidate responses and submit Enterprise Task Management Software Solution (ETMS2) taskers to the appropriate Government representative by the completion action date required by ETMS

  • Prepare Daily Read and Weekend Read books for PM leadership.
  • Prepare briefing binders and associated materials for organizational leaders.
  • Submit morning reports via Marine-On-Line in support of the program office.
  • Prepare official messages using AMHS in support of PAE Marine Corps organizations.
  • Coordinate the processing of DD Form 2875s and facility badge requests for Lumbee employees supporting program office operations.
  • Orient newly assigned Lumbee employees on standard operating procedures and USMC applications (MR, MOL, DRP) to ensure consistent support across the program office.
  • Perform additional duties as assigned by the Lumbee Program Manager.

Competencies for the role

The Operations Support Specialist (VA) demonstrates strong organizational and administrative expertise in support of a DoD program office. This role requires close attention to detail, proficiency with Microsoft Office and USMC administrative systems including Marine-On-Line, ETMS2, and AMHS, the ability to manage multiple concurrent taskers against firm deadlines, and clear written and verbal communication with Government and contractor leadership.

Physical Requirements for the role

This position is primarily sedentary and requires the ability to work at a computer for extended periods, including viewing monitors, using keyboards, and operating standard office equipment. The role requires occasional standing, walking, and minimal lifting (up to 10 pounds), including the retrieval and delivery of official mail and briefing materials.

The work environment for this position is a professional Government office setting with standard business conditions. The role involves regular use of computers and related technology in a low-noise environment and frequent collaboration with technical and non-technical team members. Work is generally performed during normal business hours with minimal physical risk, and the environment supports adherence to established cybersecurity, safety, and organizational policies.

Security Clearance Requirements

Must be able to obtain a Secret clearance.

Travel Requirements

Travel is not anticipated.
