Executive Assistant

Reports To: CEO

Position Summary

The Executive Assistant provides administrative and organizational support to the CEO. This person will help manage schedules, communication, meetings, reports, travel, projects, and follow-up items across the organization.

The ideal candidate is organized, dependable, professional, and proactive. They should be comfortable working in a fast-paced environment, handling confidential information, and managing multiple priorities at once.

Key Responsibilities
  • Manage calendar, meetings, appointments, and scheduling.
  • Assist with emails, correspondence, and internal communication.
  • Prepare meeting agendas, notes, reports, presentations, and other materials.
  • Keep track of projects, deadlines, and follow-up items.
  • Follow up with managers and departments on outstanding items.
  • Gather and organize dealership reports and performance information.
  • Maintain spreadsheets, trackers, files, and other records.
  • Coordinate meetings, company events, training, and leadership activities.
  • Arrange travel, hotels, reservations, and itineraries.
  • Assist with special projects and research as needed.
  • Help keep priorities organized and make sure important items do not fall through the cracks.
  • Handle confidential company and employee information professionally.
  • Provide additional administrative support as needed.
Qualifications
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication.
  • Professional, dependable, and trustworthy.
  • Strong attention to detail.
  • Comfortable managing multiple priorities.
  • Able to work independently and take initiative.
  • Strong follow-up and problem-solving skills.
  • Proficient with Microsoft Outlook, Excel, Word, and PowerPoint.
  • Previous administrative, executive support, or project coordination experience is preferred.
  • Automotive dealership experience is appreciated, but not required. We are willing to teach the automotive side of the business to the right person.
