DescriptionThe Executive Assistant will support the CEO/Managing Partner in a senior support role at the center of a growing plaintiff-side employment law firm, keeping firm leadership organized, prepared, and focused, and serving as a trusted, discreet point of contact for internal and external stakeholders. Responsibilities include, but are not limited to, managing calendars, communications, and priorities on behalf of firm leadership, and anticipating needs before they arise.

- Calendar & Scheduling Management:
Own and manage the CEO’s calendar —scheduling internal and external meetings, client calls, court-related commitments, and firm events; proactively resolving conflicts and protecting the CEO’s time against competing priorities. - Meeting Preparation & Support:
Ensure the CEO is prepared for every meeting and commitment — assembling materials, agendas, and background; coordinating pre-reads; and tracking follow-through on action items. - Expense & Administrative Processing:
Manage expense reports, reimbursements, invoice routing, and related administrative workflows accurately and on time. - Document & File Management:
Organize and maintain confidential records, files, and documents with a high standard of accuracy and security. - Stakeholder Coordination:
Serve as a professional first point of contact for the CEO — liaising with attorneys, staff, clients, and external parties, and ensuring smooth communication and workflow across the firm. - Special Projects & Personal Logistics:
Handle ad hoc projects and time-sensitive personal logistics for the CEO as needed, with reliability and discretion.
- Experience:
3+ years supporting a senior executive, managing partner, or equivalent principal —ideally in a law firm or professional services environment. - Discretion:
Proven ability to handle confidential and sensitive information with the utmost discretion, judgment, and professionalism. - Organization:
Exceptional organizational and time-management skills, with the ability to manage competing priorities and shifting demands without losing accuracy. - Communication:
Strong written and verbal communication skills; comfortable drafting correspondence on behalf of firm leadership. - Anticipation: A proactive, anticipatory working style — someone who sees what’s needed before being asked and takes ownership of it.
- Technical Fluency:
Proficiency with Microsoft Office and Google Workspace; comfort learning firm systems, including legal case-management and document-management software
Preferred Qualifications:
- Prior experience in a law firm, particularly supporting a partner or firm leader.
- Familiarity with the pace and confidentiality demands of a litigation practice.
- Experience coordinating across multiple offices or a growing organization.
