Primary Responsibilities:

Executive Support and Calendar Management
  • Strategically manage complex executive calendars, gathering context and using sound judgment to prioritize competing requests, understand scheduling dependencies, anticipate needs, protect time for critical priorities, and ensure executives are prepared for key meetings and commitments.
  • Coordinate internal and external meetings and, as needed, executive travel, ensuring logistics are well managed and executives have the relevant context, agendas, materials, and other information they need.
  • Anticipate executive needs and proactively manage follow-through on commitments, deadlines, and key activities, including reserving work time, providing reminders, and establishing timelines as appropriate.
  • Manage day-to-day executive logistics and administrative needs, including tracking and submitting expense reports, coordinating meals and travel logistics, and handling other requests that support executives’ productivity and effectiveness.
  • Serve as a key point of contact for senior leaders and their EAs/coordinators, fostering strong relationships and collaborating effectively on calendars, meetings, projects, and events.
  • Partner with the Executive Assistant to the CEO and other EAs/coordinators to support executive suite needs and ensure appropriate coverage for executive events, lunches, Board meetings, and other activities.
Meeting, Communications, and Event Support
  • Provide end-to-end support for key leadership and department meetings, including agenda development, presenter coordination, preparation of materials and pre-work, meeting logistics, note-taking, and documenting and communicating decisions, owners, and next steps.
  • Draft, edit, proofread, and coordinate executive, department, and firmwide communications, presentations, meeting materials, weekly updates, newsletters, and other content.
  • Support the planning and execution of department in-days, team gatherings, and special events, including agenda and content development, logistics, communications, presenter coordination, and the attendee experience.
Team and Department Support
  • Support select Talent and Adult Market projects, initiatives, and recurring processes, partnering with functional teams on planning, coordination, communications, logistics, execution, and opportunities to improve processes and team efficiency.
  • Manage select distribution lists, shared inboxes, calendars, Slack channels, and other department systems and processes, ensuring information is accurate, organized, and appropriately maintained.
