We are seeking a professional, organized, and customer-focused Administrative Assistant to support the daily operations of our community association management office. The ideal candidate is detail-oriented, possesses excellent communication skills, and thrives in a fast-paced environment while providing exceptional service to residents, board members, vendors, and visitors.
- Answer and direct incoming phone calls in a courteous and professional manner.
- Greet residents, homeowners, vendors, and guests while providing exceptional customer service.
- Assist residents with general inquiries and process requests in a timely manner.
- Prepare, organize, and maintain resident, homeowner, and vendor files.
- Process architectural review (ACC/ARC) applications and maintain accurate records.
- Enter, track, and follow up on maintenance work orders.
- Coordinate vendor appointments and assist with scheduling maintenance and inspections.
- Prepare correspondence, notices, meeting packets, and other administrative documents.
- Assist with community mailings, newsletters, and resident communications.
- Maintain office supplies and place orders as needed.
- Scan, file, and organize electronic and paper documents.
- Update homeowner information and maintain accurate database records.
- Assist the Community Association Manager with special projects and daily administrative tasks.
- Maintain confidentiality of homeowner and association information.
- Support board meetings by preparing agendas, meeting materials, and minutes as assigned.
Full-Time 8:30am-4:30pm
Compensation up to $25/hour DOE.

Skills & QualificationsHigh School Diploma or equivalency preferred
Prior experience working in a HOA, condo or apartment building office preferred
Excellent oral, communication, and interpersonal skills
Self-Starter Great organizational and administrative skills.
Highly responsive and able to provide excellent customer service
Ability to create and develop long-term relationships
Capable and efficient in using computer systems including: MS-Office, property management software, gate systems, systems, etc.
Must pass a drug screening and back ground check.
