Receptionist
City of Rockdale
Salary: $15.00 per hour, or commensurate with experience
Reports to:
Utility Services Director
Performs a variety of clerical and administrative duties while serving as the primary public receptionist for City Hall. Provides high-quality customer service by responding to citizen inquiries, directing requests appropriately, and supporting multiple departments, including Community Services (Code Enforcement and Building), Utility Billing, and administrative offices.
This is a full-time position based on a standard 40-hour work week. Overtime is rarely required but may be necessary to ensure efficient City Hall operations.
Essential Functions- Serve as the first point of contact for the public; greet visitors and answer incoming calls, providing assistance or routing to appropriate personnel
- Take, document, and relay accurate telephone messages
- Maintain records for beer and wine retailers, including tracking license expirations and filing copies of state licenses and city occupational tax receipts
- Making copies of documents when needed
- Provide support to the Utility Billing Department, including receiving payments for processing by Utility Clerks
- Coordinate reservations for City facilities, including the Civic Center, Veterans Park, and City Hall parking lot.
- Explain rules, regulations, and fee structures
- Collect and document applicable fees and deposits
- Coordinate facility access (including keys and communication with police dispatch for weekend use)
- Inspect facilities after events and document condition for deposit processing
- Schedule cleaning and maintenance as needed
- Process outgoing mail, including postage, delivery, and tracking usage
- Collect permit fees and forward inspection requests to the City Planner
- Monitor and maintain files of city-related publications from local newspapers
- Provide administrative support to the City Manager, including correspondence, scheduling, and file management
- Scheduling CSI inspections
- Perform general clerical duties such as typing, filing, and data entry
- Utilize office equipment and software, including computers and calculators
- Ensure the copier has paper
- Posting community events on the windows
- Perform other duties as assigned
- Inspect the Civic Center prior to scheduled events to ensure readiness; report issues for correction
- Monitor the City’s website and notify appropriate staff of needed updates
- Assist with cemetery records management
- Report streetlight outages to Oncor using online reporting tools
- Maintain beverage supplies in Council Chambers for meetings
- Review postage accounts monthly and process refunds when applicable

- Education:
High school diploma or equivalent (GED) - Experience:
Experience in customer service, public interaction, or general office work preferred - Proficiency with Microsoft Office (Word, Excel) and Windows-based applications
- Experience with cash handling, accounts receivable, or utility billing preferred
- 10-key calculator proficiency preferred
- Preferred:
Bilingual in English and Spanish
- Reading:
Ability to read and understand manuals, correspondence, billing documents, and instructions - Writing:
Ability to accurately document transactions, take messages, and prepare basic correspondence - Mathematics:
Ability to perform basic arithmetic, calculate fees, and handle cash transactions accurately - Reasoning:
