POSITION OVERVIEW
We are seeking an experienced Executive Assistant to support a Chief Medical Officer (CMO). The ideal candidate is highly organized, proactive, and resourceful, with strong judgment, attention to detail, and the ability to manage competing priorities. This role serves as a key partner to executive leadership and regularly interacts with physicians, clinical leaders, employees, and external stakeholders.
RESPONSIBILITIESCalendar & Meetings
Manage complex calendars, anticipate scheduling needs, and resolve conflicts.
Coordinate meetings across teams, locations, and time zones, including leadership, physician, and strategic planning meetings.
Prepare agendas, presentations, reports, and executive communications.
Track action items and follow up with stakeholders to ensure timely execution.
Executive Support
Act as a liaison between executives, physicians, clinical teams, and external partners.
Conduct research and gather information to support executive decision-making.
Handle sensitive and confidential information with discretion.
Travel & Administration
Coordinate travel arrangements, itineraries, and logistics.
Prepare and submit expense reports.
Maintain organized files, contacts, and executive resources.
Process Improvement & Projects
Utilize Microsoft 365 and other technology tools to improve efficiency.
Identify opportunities to streamline administrative processes.
Support presentations, leadership events, and special projects from planning through completion.
High School Diploma or equivalent.
5+ years supporting senior executives, preferably in healthcare or other complex organizations.
Advanced proficiency with Microsoft 365.
Preferred Qualifications
Associate's or Bachelor's degree.
Experience supporting a Chief Medical Officer, physician executive, or multiple senior leaders.
Healthcare industry experience.
Exceptional organization and time management skills.
Ability to prioritize multiple demands with minimal direction.
Strong initiative, accountability, and follow-through.
Excellent written and verbal communication skills.
Ability to build relationships with physicians, executives, and stakeholders at all levels.
Sound judgment, professionalism, and confidentiality.
