Position Summary:
The Documentation Specialist (
Product Specification Administrator
) is responsible for coordinating, documenting, organizing, and maintaining product specifications that support the company’s products as preferred solutions for governmental and private owners. This role works closely with internal Research & Development, Operations, Sales, and Technical Services teams, as well as external agencies, to ensure product specifications are accurate, complete, commercially practical, and properly submitted for review and approval to transportation agencies.
This role serves as a key administrative and coordination resource between the company and federal, state, and local government clients, supporting purchasing officials, agency contacts, and internal stakeholders through the specification process to promote compliance with procurement requirements and support competitive positioning.
The Product Specification Administrator also manages the tracking, review, submission, and approval workflow with transportation agencies to help ensure timely adoption of new or revised specifications.
Key Responsibilities:Specification Administration
- Coordinate the creation, maintenance, and periodic review of product specifications, equipment requirements, materials information, and construction-related standards that support agency requirements and product positioning.
- Organize technical inputs from subject matter experts and convert them into clear, consistent specification supporting documentation.
- Prepare, compile, and submit documentation required for approvals, certifications, prequalification packages, or compliance verification.
- Monitor regulatory and agency specification updates and coordinate internal reviews to keep company specifications current.
Cross-Functional Collaboration
- Work with technical, procurement, operations, sales, and project teams to ensure documentation is practical, accurate, cost-conscious, and aligned with operational needs.
- Route specification questions to appropriate subject matter experts and help document responses for future reference.
- Participate in internal projects to improve product best practices.
Standards & Documentation Management
- Maintain a central repository of approved specifications, technical standards, agency requirements, submission records, and supporting documentation.
- Review and update internal documents periodically to incorporate approved changes, lessons learned, and process improvements.
- Ensure version control, naming conventions, approval records, and documentation consistency across departments.
Business Administration & Support
- Review supplier, contractor, or agency submittals for completeness against established specification requirements and route technical exceptions for review.
- Participate in documentation reviews related to specification updates, product changes, and agency approval packages.
- Support issue tracking, follow-up actions, and documentation updates when specification-related questions or discrepancies arise.
- Bachelor’s degree in business administration, technical communication, construction management, product management, quality systems, or a related field; equivalent experience in specification administration, documentation control, or technical coordination may be considered.
- 5+ years of experience in specification administration, technical documentation, product documentation, regulatory coordination, quality documentation, or related administrative support functions.
