JUDICIAL ASSISTANT

Under the direction of the Court Administrator, the Judicial Assistant provides administrative services to judicial officers of the Circuit Court. This position is covered under the Circuit Court Employee Handbook. This is an employee-at-will position.

ESSENTIAL FUNCTIONS:
  • Answers the Circuit Court phone line and directs calls throughout the judicial system.
  • Accepts filings in the Odyssey File and Serve System.
  • Enters, reviews, and approves/denies judgments, motions, and proposed orders into the Courts, Quest, Odyssey, and any and all other court approved information management systems.
  • Moves tasks throughout the queues in Odyssey and Quest Case Management System to the proper Judge, Magistrate, Court Reporter, or staff member.
  • Schedules and manages court calendar for all judicial officers in Odyssey, Quest Case Management System, and Outlook.
  • Coordinates hearing dates with attorneys and pro se litigants.
  • Checks parties into court hearings, answers questions, and provides directions as needed.
  • Assists pro-se litigants with paper filings, opening new cases, court processes, procedures, and other information requested..
  • Prepares and types correspondence, judgments, orders, memos, and statistical reports.
  • Provides assistance to general public, the Judge and Magistrates, Court Administrator, Law Clerk/Assistant Court Administrator, and Court Reporters as needed.
  • Performs all other duties as assigned, including overtime as required.
REQUIREMENTS:
  • High School Diploma or GED and three years experience in data entry/customer service
  • Associate's Degree in Paralegal Studies or related legal field preferred
  • Strong written and verbal communication skills
  • Ability to effectively communicate in a professional, courteous, and tactful manner
  • Strong customer service skills
  • Strong computer skills with ability to use Microsoft Office including Word, Excel and Power Point and other Court related case management software
  • Ability to work independently with minimal supervision and effectively complete tasks in a fast-paced environment
  • Ability to transcribe from dictation per Indiana Supreme Court Parameters
  • Ability to type at least 40 WPM
DIFFICULTY OF WORK:

The Judicial Assistant performs work that is moderately complex and must have an understanding of rules and regulations when entering and reviewing motions and proposed orders into Court computer software programs.

RESPONSIBILITY:

The Judicial Assistant makes choices and uses judgment when performing relatively standardized assignments when preparing and typing judgments and statistical reports. The Judicial Assistant provides substantial contributions when assisting pro se litigants with legal procedures and filing documents. Errors in work are not immediately apparent through review. Work is reviewed in compliance with procedural requirements.

PERSONAL WORK RELATIONSHIPS:

The Judicial Assistant maintains frequent contact with other County employees, judicial officers and the general public regarding general Circuit Court questions and court dates.

WORKING CONDITIONS:

The Judicial Assistant works in a standard office environment with the ability to move around freely with frequent sitting, typing, and attention to detail, monitoring equipment, detailed inspection, and transcription /proofreading. Some lifting up to twenty pounds, bending, pushing/pulling loads, reaching over head, kneeling, and mental/visual effort is to be expected.
