JOB OVERVIEW :
The High School Counselor’sSecretary/Registrar provides comprehensive administrative and student-record support to the high school counseling office and serves as a key resource for students, parents/guardians, staff, and school administrators. This position is responsible for maintaining accurate student records, coordinating enrollment and registration activities, supporting counselors with daily administrative tasks, and ensuring the confidentiality and accuracy of student information.

ESSENTIAL JOB FUNCTIONS :

Counseling Office Support

  • Serve as the primary administrative support for thehigh school counseling department.
  • Greet and assist students, parents/guardians,visitors, and staff in a professional and courteous manner.
  • Answer telephone calls, respond to emails, and provide information or direct inquiries to the appropriate staff member.
  • Schedule appointments and assist counselor with maintaining calendars and student meeting schedules.
  • Prepare correspondence, forms, reports, letters, andother documents as requested by counselor and administrators.
  • Maintain organized counseling office files and records.
  • Assist counselor with college, career, scholarship,testing, and post-secondary information.
  • Maintain confidentiality of student and family information in accordance with school district policies and applicable laws.

Registrar Responsibilities

  • Maintain accurate and up-to-date student cumulative records and academic files.
  • Process student enrollments, withdrawals, transfers,and changes in student information.
  • Verify enrollment documentation and ensure required records are received and properly filed.
  • Process and maintain student transcripts and academic records.
  • Prepare official transcripts, records, enrollmentverifications, and other student documentation as requested.
  • Maintain accurate student schedules, course registrations, and related records.
  • Assist with student course selection and registration processes as directed by counselor and administrators.
  • Enter and update student information in the district’s student information system.
  • Monitor and correct student-record discrepancies asneeded.
  • Assist with the preparation of records for graduating seniors, including final transcripts and graduation-related documentation.
  • Respond to requests for student records from authorized schools, agencies, colleges, and other organizations in accordance with district procedures.

Student and Family Assistance

  • Provide students and families with information regarding registration, transcripts, schedules, records, testing,graduation requirements, and counseling services.
  • Assist students with routine questions and direct them to counselor or administrators when appropriate.
  • Communicate with parents/guardians regarding required enrollment or registration documentation.
  • Assist new students and families with the registration process and provide information regarding school procedures.
  • Maintain a welcoming, respectful, and student-centered office environment.

Administrative Responsibilities

  • Maintain accurate filing systems, both electronic andpaper.
  • Prepare reports and data requested by counselor,administrators, and district personnel.
  • Assist with state, district, and school reporting requirements related to student enrollment and records.
  • Assist with testing coordination and other counseling-office activities.
  • Order and maintain office supplies and materials asneeded.
