Patomak is seeking an Executive Coordinator (EC) in our Washington, D.C., office. The EC plays an integral role in supporting the success of Patomak by providing a variety of administrative and business development support services to our senior executives and maintaining a team environment in the office.

Overview of
Job Duties:
- Manage complex executive calendars and scheduling, including coordinating with the offices of senior financial firm executives and board members.
- Attend meetings with senior leadership to support firm operations.
- Support Patomak leadership’s various business development initiatives and conduct research on potential clients in the financial sector.
- Assist with recruitment efforts for contractors and full-time hires, including coordinating contractor agreements, interviews, and offer letters.
- Support board meetings and executive leadership meetings.
- Track and follow up on action items and outstanding to-do items from executives.
- Plan and execute, in collaboration with the Operations team, internal and external events including happy hours, speaker events, receptions, etc.
- Maintain and update firm contact lists.
- Assist executives in tracking and entering time into Patomak’s timekeeping software and assist with handling expense tracking for personnel, as needed.
- Provide administrative office support, such as answering office phones and welcoming guests.
- Book lodging and transportation for team members as needed.
- Track and send reminders to employees on meeting deadlines.
- Manage supplies, including kitchen snacks and office supplies.
Qualifications:
- Minimum of 2 years of experience supporting senior executives, including calendar management, handling travel logistics, meeting and event preparation, and office coordination.
- Preferred:
Experience working in a regulated financial services environment and/or a general understanding of financial markets and U.S. public policy.
Skills and Abilities:
- Excellent time management skills with strong ability to manage competing priorities with discretion and sound judgment.
- Exceptional organizational and problem‑solving skills.
- Outstanding attention to detail.
- Strong and concise writing, editing, and verbal communication skills.
- Ability to proactively identify and address challenges while troubleshooting quickly.
- Positive attitude and desire to learn.
- Proficient with Microsoft, PowerPoint, and Excel.
Salary Range:
$70,000-$95,000
Salary will be commensurate with experience, and employees will be eligible for an annual performance bonus based on individual performance and firm performance.
