Position Summary

Based in Hebron, KY, the Office Manager will perform essential job functions associated with administrative, financial, human resources, and customer interaction duties under the direction of the General Manager to meet business needs, including assisting other employees as needed.

Essential Job Functions (Duties and Responsibilities) Human Resources
  • Manage and organize employee files (personnel, medical and confidential).
  • Plan, monitor, and appraise employee performance; provide guidance to managers on disciplinary process, scheduling, conflict resolution, counseling, and leadership.
  • Handle all in‑house HR duties: recruitment of hourly hires, onboarding, orientation, terminations, training, benefits enrollment, leave of absence, workers' compensation, employee inquiries; forward documentation to Regional HR Business Partners or Employee Services.
  • Process all required HR forms: new hires, temporary workers, transfers, promotions, leaves, terminations.
  • Partner with HR to comply with federal, state regulations, company policies, conduct investigations, and maintain records.
Payroll
  • Timely and accurate submission of weekly employee time records via payroll system; review UKG for missed punches and attendance management; track PTO, holiday pay, bereavement, jury duty, and other leaves.
  • Maintain confidentiality of compensation information.
Order to Payment
  • Support accounts receivable through shared services; provide necessary information and manage days sales outstanding.
  • Act as point of contact for high‑risk customers; assist in resolving collections; prepare credit memos with appropriate approvals.
  • Complete and submit new customer setup forms to centralized shared services.
  • Ensure daily and accurate invoicing of shipped product and submit supporting data to AR.
Procure to Pay
  • Partner with plant management to create and submit purchase orders in the ERP system; verify budget limits and account allocation.
  • Upload accounts payable batches; enter receipt of goods and vendor invoices timely; complete new vendor and customer forms with required paperwork and approvals.
Month‑End Reporting
  • Submit all month‑end reports accurately and on time as directed by Regional Controller, shared services, and HR.
  • Compile reports such as PIS report, month‑end pack (AX plants), electricity and natural gas meter readings, and shipped not invoiced report.
  • Provide accurate reporting of accounting daily, weekly, and monthly numbers in partnership with leadership.
  • Update corporate cadence with sales and aging reports; perform weekly and monthly sales reconciliations.
General
  • Supervise front‑office staff as appropriate.
  • Support regional initiatives, information requests, and backup assistance.
  • Answer telephones, process mail, and manage day‑to‑day office operations.
  • Assist with order entry of customer orders and customer quotes, pricing, and capital expenditures.
  • Manage contractor services such as lawn care, snow removal, and building maintenance.
  • Organize employee events (company meetings and holiday parties).
  • Assist with facilitation of audits, including ISO, AS9100, NADCAP, and safety.
  • Submit expense reports through Concur for plant expenses.
  • Support ITAR‑related plant procedures.
  • Perform any other tasks as assigned.
Qualifications
  • US citizen or Permanent Resident Card holder to satisfy ITAR compliance requirements.
  • Associate degree or equivalent experience preferred.
  • Five years of general office, accounting, and finance experience.
  • Knowledge of employment laws; familiarity with company policies, practices, and procedures.
  • Proficiency in ERP and database systems.
  • Strong verbal and written communication skills in English.
  • Supervisory skills and ability to direct and prioritize work of others.
  • High proficiency with Microsoft Office (Excel, Word, Outlook).
  • Comfortable working in a dotted‑line reporting environment with accounting, finance, and HR.
  • Teamwork, communication, and cooperation skills; ability to meet plant goals.
  • Excellent organizational and multitasking skills; prioritize workflow.
