Order Management Specialist
The Order Management Specialist is responsible for supporting the end-to-end order lifecycle, ensuring the accurate processing of quotes, order entry, and seamless execution from purchase through billing.
This role is focused on delivering an excellent customer experience throughout the order-to-cash process. The Specialist collaborates closely with cross-functional teams—including Sales, Account Management, Finance, and Operations—to support contracting, re-contracting, fulfillment, billing, issue resolution, and collections. They act as a key operational point of contact for assigned customers. By consistently meeting service standards and turnaround times, the Order Management Specialist helps reduce resolution cycles, particularly for complex orders and priority accounts.
The role may also include monitoring and supporting Service Level Agreements (SLAs).
The Specialist manages the full order process for a defined portfolio or more complex operational activities, ensuring data accuracy, compliance with internal policies, and timely execution. This includes providing guidance to both internal stakeholders and external clients on order-related processes. While there may be occasional interaction with customers via phone or email, the role is primarily operational and administrative. Success in this position requires strong attention to detail, excellent organizational skills, and effective collaboration, while supporting broader company initiatives such as process optimization and digital transformation.
Key Responsibilities and Accountabilities
- Responsible for the full order-to-billing process and provides ongoing support to sales teams and clients throughout the order lifecycle.
- Manages all stages of order fulfillment, including preparation, tracking, permissioning, billing, credits, and cancellations for both new and renewal orders. Ensures accuracy in client orders to support sales and financial reporting, while maintaining compliance with internal controls and third-party guidelines.
- Serves as the main point of contact for a designated client base, building positive relationships with internal and external stakeholders to improve service outcomes.
- Responds to inquiries related to quotes, order status, billing, account details, permissioning, and compliance, ensuring timely and accurate resolution.
- Leads cross-functional initiatives, collaborating with relevant teams to ensure customer requests are handled efficiently and effectively.
- Identifies patterns and opportunities for improving systems and workflows, contributing to continuous process enhancement.
- Manages basic Service Alerts, including creation, follow-up, and resolution, and conducts pre-audit checks.
- Supports Salesforce-related tasks, such as tracking pending orders, resolving contract or product installation queries, and navigating moderately sophisticated system issues.
- Assists with contract and trial management, including acquiring vital documentation from customers.
- Partners closely with internal teams to resolve administrative concerns and ensure a smooth customer experience.
Qualifications and Experience
- Experience in Order to Cash / customer support roles
- General knowledge of business, developed through education, to make informed judgements.
