Manager, Scientific Programs

Full Time New York, NY, US

Salary Range: $75,000.00 To $85,000.00 Annually

This role is subject to a flexible hybrid work arrangement requiring a minimum of 2 pre-determined days per week in our mid-town office.

SUMMARY

The Manager, Scientific Programs oversees faculty engagement and program content for CRF conferences, symposia, and workshops. The role reports to the Director, Program Development and collaborates closely with the Manager, Scientific Programs to ensure the successful execution of assigned programs. The Program Manager also serves as a point of contact for the Center for Education’s Call for Science (CFS) program, ensuring inquiries are handled promptly and professionally.

This role will be responsible for managing the CFS process from start to finish for certain meetings and providing a supporting role for others.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Program & Faculty Management
    • Serve as the primary program contact for assigned meetings, working closely with physician course directors to plan, organize, implement, and evaluate content.
    • Coordinate all faculty communications, including invitations, scheduling, reminders, and post-conference follow-up.
    • Address faculty inquiries related to registration, housing, travel, honoraria, and presentation requirements.
    • Provide onsite program management, including faculty logistics, moderator notes, presentation management support, and real-time agenda updates.
  • Program Operations & Logistics
    • Develop and manage timelines, budgets, and workflows for assigned programs, ensuring deliverables are completed on time and within budget.
    • Schedule and facilitate planning meetings with course directors, committees, and internal stakeholders; prepare agendas, minutes, and action items.
    • Collaborate with Meeting Planning and Marketing teams to ensure accuracy of agendas, signage, websites, and other program materials.
    • Support live case sessions, coordinating contracts, HIPAA forms, vendor communications, and grant invoices.
  • Call for Science (CFS) Responsibilities
    • Serve as a point of contact for CFS presenters and submitters, providing timely and professional customer service.
    • Manage the full CFS process for assigned meetings, from submission through onsite presentations, ensuring seamless execution.
    • Provide support for CFS at other meetings, working closely with team members on abstracts, late-breaking trials, and poster/case sessions.
    • Test and review system enhancements to the CFS platform, ensuring functionality and user experience.
    • Generate reports and data extracts for physician leadership and internal decision-making.
    • Coordinate onsite abstract and poster presentations (physical, electronic, moderate, and oral).
  • Administrative & Financial Oversight
    • Monitor faculty expenses and prepare reconciliations; contribute to budget forecasting for future meetings.
    • Maintain program documentation, including databases, forms, reports, timelines, and communications.
    • Ensure compliance with CRF policies, templates, and processes; recommend improvements as needed.
  • Relationship Management
    • Build and maintain strong professional relationships with internationally recognized faculty, course directors, vendors, and industry partners.
    • Act as a reliable liaison between CRF staff, physicians, vendors, and external stakeholders to ensure smooth collaboration.
  • Additional Responsibilities
    • Perform other duties as assigned to support departmental and organizational goals.
QUALIFICATIONS
  • Bachelor’s degree or equivalent work experience required.
