Job Summary

The Administrative Coordinator role for the Southeast Scholars Program is responsible for delivering direct program support to students and families in Harlan County, while carrying out day-to-day program activities. This position leads recruitment efforts for students in grades 6 through 12 in coordination with school partners and provides ongoing mentorship, advising, and family engagement for program participants. The Administrative Coordinator facilitates weekly sessions focused on academics, life skills, leadership development, and career exploration, and supports the planning and implementation of the Summer Institute, workshops, and community service projects.

This is a grant funded project ending June 30, 2027.

Job Duties:

Program Planning & Logistics
  • Assist with the implementation of the Southeast Scholars summer program
  • Lead and coordinate logistics for transportation, supplies, activities, community events, food, and workshops in Harlan County
  • Attend steering committee meetings and provide updates and reports on program activities
Student Recruitment & Enrollment
  • Recruit students in grades 6 through 11 across Harlan County schools
  • Lead and organize school visits and recruitment events for the Harlan County School District and the Harlan Independent School District
  • Assist with recruitment and aligning SKCTC program-specific pathways for dual-enrollment and dual-credit opportunities
  • Verify student eligibility, including low-income and first-generation status, in accordance with program requirements
Community Outreach & Partnership
  • Lead and organize outreach and community engagement opportunities to promote program recruitment
  • Develop and maintain partnerships with community organizations in Harlan County
  • Maintain regular communication with FRYSC coordinators and guidance counselors through monthly or bi-monthly emails or phone calls, with periodic in-person visits as needed
  • Support Southeast Scholars promotional campaigns and newsletter development
  • Support updates to the Southeast Scholars Facebook page and other program communications as assigned
Student Support & Mentorship
  • Communicate with students, parents, and guardians through appropriate channels, including email, text, Messenger, and social media
  • Provide ongoing mentorship and advising to students throughout program participation
  • Ensure consistent delivery of programming aligned with program goals and expectations
Data Tracking & Reporting
  • Use Customer Relationship Management (CRM) software or other designated systems to track program activity and participant data

    Minimum Qualifications:

    Bachelor's degree in general studies or related field.
