Job Purpose

The Primary Office Coordinator & VPK Director reports to the Director of Montessori Development and is responsible for coordinating the daily administrative operations of the Primary Campus while directing the Voluntary Prekindergarten (VPK) program. This position supports the implementation of school policies and procedures, ensures compliance with licensing, accreditation, and VPK requirements, and serves as the primary point of contact for students, families, and staff at the Primary Campus.

The role promotes a safe, organized, and welcoming learning environment while supporting the mission, philosophy, and goals of the school.

Qualifications
  • Florida Director Credential with VPK Endorsement required.
  • Child Development Associate (CDA) credential required; bachelor’s degree in early childhood education or a related field preferred.
  • Minimum of three (3) years of experience leading a large-capacity preschool or early childhood program.
  • Completion of all county, state and federally required training.
  • Strong leadership, organizational, interpersonal, and communication skills.
  • Proficiency with Microsoft Office and student information or childcare management systems.
  • Ability to manage multiple priorities while maintaining confidentiality, professionalism, and attention to detail.
  • Knowledge of the Florida Voluntary Prekindergarten (VPK) program and applicable regulations.
  • Montessori Early Childhood/Primary experience/training.
Essential Duties and Responsibilities Primary Office Coordinator
  • Coordinate the daily administrative operations of the Primary Campus office.
  • Maintain accurate enrollment records, student rosters, attendance records, tuition documentation, and other required student and family records.
  • Maintain and update financial agreements and other required family documentation.
  • Review and maintain student, family, staff, and facility records to ensure accuracy and compliance.
  • Develop and maintain the school calendar and campus activity schedule.
  • Coordinate substitute coverage and communicate staffing needs to the Director of Montessori Development.
  • Support enrollment by conducting family interviews, coordinating registration, and assisting with tours, open houses, and informational events.
  • Develop and maintain positive, professional communication with students, families, staff, and community stakeholders.
  • Manage inventory and order office and classroom supplies and equipment as needed.
  • Coordinate with facilities and custodial staff regarding maintenance, repairs, and campus needs.
  • Assist with campus events and perform other administrative duties as assigned.
VPK Program Director
  • Manage the day-to-day operations of the VPK program in accordance with school policies and all local, state, federal, licensing, and corporate requirements.
  • Ensure compliance with all Florida VPK program regulations and reporting requirements.
  • Maintain required teacher-child ratios and staffing requirements.
  • Oversee compliance with NAEYC accreditation standards and coordinate accreditation activities.
  • Monitor program quality and instructional compliance.
  • Coordinate and support professional development opportunities for instructional staff in collaboration with the Director of Montessori Development.
  • Assist the Director of Montessori Development in monitoring and administering the approved operating budget for the Primary Campus and VPK program.
  • Ensure compliance with mandatory reporting requirements.
  • Oversee campus safety by coordinating OSHA compliance, fire drills, child safety procedures, facility safety checks, and required safety training.
