JOB SUMMARY :
The coordinator will manage the program’s daily operations and provide comprehensive assistance to veterans and active-duty service members as they move through enrollment, military transcript evaluation, Prior Learning Assessment, academic planning, and credential completion.
The position will work closely with participants, faculty, academic departments, university offices, workforce partners, military-affiliated organizations, and external stakeholders to ensure that program activities are completed efficiently and in accordance with institutional policies and Texas Workforce Commission grant requirements.
Grant-Funded Position Notice
This position is funded through the Texas Workforce Commission College Credit for Heroes grant. Continued employment is contingent upon the availability of grant funding, satisfactory performance, and the continued operational needs of the program.
- Manage the day-to-day operations, logistics, schedules, activities, and administrative functions of the College Credit for Heroes program.
- Coordinate participant enrollment, intake, orientation, and onboarding processes.
- Assist veterans and active-duty service members with navigating university admissions, enrollment, military transcript submission, Prior Learning Assessment, and related institutional processes.
- Support the collection, review, routing, and documentation of Joint Services Transcripts, Community College of the Air Force transcripts, military certifications, occupational training records, and other prior-learning documentation.
- Coordinate the evaluation of military education, training, occupational experience, certifications, and other prior learning with faculty, academic departments, registrars, advisors, and designated evaluators.
- Support the implementation of Prior Learning Assessment methods, including portfolio assessments, challenge examinations, certification crosswalks, and military credit evaluations.
- Track each participant’s progress from initial inquiry and evaluation through enrollment, credit award, academic progression, credential completion, and career transition.
- Maintain accurate participant records and ensure that all program documentation is complete, organized, confidential, and audit ready.
- Serve as the primary liaison among program participants, faculty, academic departments, university offices, and external partners.
- Coordinate referrals to academic advising, financial aid, veterans’ benefits, tutoring, career services, counseling, and other student-support resources.
- Monitor participant engagement and follow up with students who experience barriers that could affect their academic progress or program completion.
- Maintain compliance with institutional policies, grant requirements, reporting standards, and applicable state and federal regulations.
- Assist with the preparation and submission of monthly, quarterly, annual, and other required program reports.
- Collect, organize, verify, and analyze program data, including participant enrollment, credits evaluated and awarded, academic progress, credential attainment, time to completion, and employment-related outcomes.
- Support the development and maintenance of a centralized system for tracking participant services, academic credit, progress, and program outcomes.
