Job Title: Wheeler Ticketing Coordinator
Department: Wheeler Opera House
Classification: Non-Exempt
Hiring Range: $28.57/hour - $32.15/hour (DOE)
Salary Range: $28.57/hour - $42.87/hour
Position Summary: This position performs mission-critical duties to enable and support Box Office (BO) operations for the Wheeler Opera House (WOH), also known as Aspen Show Tix (AST) at the Wheeler, consistent with the organization’s values and mission statement.
Supervision Exercised and Received: Works under the direct supervision of the Box Office Manager. In the absence of the Manager, this position supervises the part-time Box Office Ticket Sellers.
Box Office Operations & Leadership- Conducts daily box office ticket sales, processes special sales requests (complimentary, discount, group), and door/phone sales at events both onsite at the Wheeler and at offsite locations.
- Acts as lead ticket seller during normal box office hours and events.
- Leads Box Office operations during events, serving as primary escalation point for patron and client issues.
- Supervises and trains part-time Ticket Sellers; manages staff in absence of the Box Office Manager.
- Maintains current knowledge of event details and communicates relevant information to ticket sellers.
- Coordinates with Front of House, Production, Marketing, and Rental Clients to ensure seamless event execution.
- Assists in resolving client and patron complaints and emergent challenges.
- Maintains accuracy in a fast-paced customer service environment.
- Operates a vehicle and travels to off-site locations to perform box office operations.
- Maintains a comprehensive and advanced understanding of the cloud-based ticketing system (Spektrix) and supports the training of new staff.
- Builds, configures, and maintains events within the ticketing platform, including pricing structures, seating plans, promo codes, pre-sales, and system integrations.
- Performs event set-up configuration, troubleshooting, report scheduling, and system updates.
- Maintains database integrity and oversees customer record management.
- Troubleshoots system issues and coordinates with vendor support as needed.
- Monitors and maintains additional systems including Dot Digital, Crowd Engage, and Spinetix to support communications and digital signage.
- Designs and executes automated pre- and post-event communications, reminder flows, and urgent event messaging.
- Assists in weekly e-newsletter creation and scheduling through Dot Digital and Spektrix.
- Coordinates and documents ADA/accessibility requests and ensures timely communication of patron needs to front-of-house, production, and facilities teams.
- Contacts patrons to re-seat, exchange, or refund tickets when necessary.
- Serves as a primary point of contact for patron inquiries via email, phone, or in-person.
- Assists patrons with ADA/ accessibility needs, ticket exchanges, refunds, or special accommodations.
- Prepares and reconciles daily deposits and financial business for the box office as needed.
- Monitors ticket sales and generates reports to inform staffing and marketing decisions.
- Assists with settlements and financial reporting for events and rental clients.
- Oversees cash, gift certificates, Insider tokens, and other financial transactions.
- Partners with rental and off-site clients on ticketing strategy, comp management, and communications
- Oversees comp ticketing processes and tracking
- Assists clients with event planning, pre- and post-show communications, and on-site support during events.
- Contributes to system enhancements, workflow improvements, and operational strategy.
- Supports fraud prevention efforts and third-party ticket monitoring.
- Collaborates on digital signage and printed marketing materials within the Box Office lobby.
- Participates in process improvements for programs such as Wheeler Insiders, ticketing workflow, and pre/post-show communications.
