Job Summary: New York Plastic Surgical Group is seeking a professional and patient-focused Call Center Phone Operator to manage high-volume inbound calls, schedule appointments, and provide exceptional customer service. The ideal candidate is organized, detail-oriented, and able to communicate effectively while supporting patients in a fast-paced medical environment.
Required Experience:
- Minimum of 2 years of experience in a call center, medical office, healthcare setting, or similar patient-facing environment.
- Strong customer service skills with the ability to provide a professional and positive patient experience.
- Working knowledge of medical terminology and general healthcare workflows.
- Strong verbal and written communication skills .
- Ability to manage a high volume of calls while maintaining accuracy, professionalism, and attention to detail.
- Strong organizational and time-management skills with the ability to prioritize multiple responsibilities.
- Proficiency in Microsoft Office, including Word, Excel, and Outlook.
- Experience using practice management or electronic health record systems;
Nex Tech experience is strongly preferred. - Familiarity with patient demographics, insurance information, and eligibility verification.
- Ability to maintain confidentiality and comply with HIPAA requirements.
- Bilingual Spanish-speaking skills are preferred but not required.
Key Responsibilities:
- Answer and manage incoming patient calls promptly, professionally, and in accordance with established service standards.
- Schedule, reschedule, and coordinate patient appointments across providers and locations.
- Accurately document patient messages and route calls or requests to the appropriate department or team member.
- Maintain current knowledge of provider schedules, office locations, services, and appointment requirements.
- Verify and update patient demographic and insurance information and complete eligibility checks as needed.
- Provide patients with clear information regarding appointment preparation, required documentation, office policies, and general scheduling questions.
- Monitor and respond to department emails and patient communications throughout the workday.
- Assist with phone system operations, including after-hours and on-call coverage when required.
- Participate in department meetings, training sessions, and other initiatives designed to support operational efficiency and patient service.
- Assist with the training and onboarding of new team members as needed.
- Maintain patient confidentiality and adhere to HIPAA, privacy, and organizational policies.
- Perform additional duties and responsibilities assigned by management.
