Summary
The Senior Retirement Specialist manages a designated book of retirement plan clients, including Multiple Employer Plans (MEPs), Pooled Employer Plans (PEPs), and standalone qualified plans, serving as a primary resource for clients and internal stakeholders on plan administration, compliance, and participant matters.
This role provides leadership and mentorship to Retirement Specialists, supports client escalations, promotes adherence to Standard Operating Procedures (SOPs), and assists with compliance testing, employer contribution reviews, audit support, and client relationship management. The ideal candidate possesses advanced retirement plan knowledge, strong communication skills, and a commitment to operational excellence.

Responsibilities- Manage a book of retirement plan clients, serving as the primary day-to-day contact while building trusted client relationships through proactive service, retirement plan expertise, timely issue resolution, and appropriate escalation of complex matters.
- Conduct client meetings, communicate plan updates and service initiatives, and document client interactions, service requests, action items, and follow-up activities to ensure timely completion of deliverables.
- Administer MEPs, PEPs, and standalone retirement plans in accordance with plan provisions, company policies, and regulatory requirements, including contribution reconciliation and maintenance of accurate plan records and documentation.
- Review and process participant enrollments, distributions, loans, rollovers, hardship withdrawals, and beneficiary transactions.
- Coordinate with payroll providers, recordkeepers, TPAs, consultants, plan sponsors, and internal teams to review contributions, resolve discrepancies, and address operational issues.
- Assist with onboarding new retirement plan clients, plan conversions, and implementation projects.
- Partner with compliance teams, TPAs, consultants, auditors, and service providers to support annual compliance requirements, communicate testing results and corrective actions to clients, and coordinate documentation and responses for plan audits.
- Monitor plan operations and identify potential compliance risks or operational deficiencies.
- Maintain current knowledge of IRS, DOL, ERISA, SECURE Act, and retirement industry regulations.
- Mentor, train, and coach 401(k) Specialists and less experienced team members on retirement plan administration, client service standards, operational procedures, issue resolution, escalation management, and service best practices.
- Support departmental goals by developing and improving SOPs, identifying process improvement opportunities, and participating in system enhancements, strategic initiatives, and special projects that strengthen retirement plan operations, service delivery, and risk management.
Other Duties:
- Promote a culture of continuous learning, collaboration, accountability, and excellence.
- Research and respond to participant and client inquiries regarding retirement plan eligibility, distributions, loans, contributions, plan features, compliance matters, and operational questions.
- Monitor service deliverables and ensure timely completion of client requests.
- Support departmental goals and initiatives as assigned.
- Perform other duties as assigned by management.
Education:
- A bachelor’s degree in business administration, Finance, Human Resources, Accounting, or related field is preferred.
- Equivalent combination of education and relevant retirement industry experience will be considered.
Skills & Experience:
- 5+ years of experience in retirement plan administration, compliance, consulting, recordkeeping, or a related field is required.
- Experience managing a book of retirement plan clients and serving as a primary client contact is required.
