Primary Duties and Responsibilities

Working under the direction of AVP, Budgeting & Financial Planning to provide timely and accurate financial data, the Budget Assistant ensures compliance with institutional policies, and supports budgetary processes that align with the university’s strategic goals. This position provides administrative support to the Budget Office during the annual budget planning process and managing, monitoring, and reporting on institutional budgets. This position also serves as a liaison with budget managers in academic and administrative units to support effective financial operations.

  • Assist in reviewing and consolidating departmental budget requests and submissions within the third-party budget system during annual budget planning cycle, including capital, operating, and AEF budgets. Develops system communications to EVP, VP, AVP, and budget managers during budget planning cycle. Monitors adherence to submission deadlines.
  • Assist during annual merit process. Develops system communications to EVP, VP, and AVP during merit process. Monitors adherence to submission deadlines. Assist in auditing salary data for accuracy. Maintains confidentiality of sensitive salary data throughout the merit process. Collaborate with HR and Payroll in creation of new positions. Enter salary adjustments and position changes, including title changes, reports to, and funding source.
  • Enter budget and expenditure data into financial systems. Enters approved budget allocations(temporary and/or permanent), expense transactions with journal entries using the institution’s enterprise financial software. Reviews funding sources for accuracy, and ensures consistency with university policies.
  • Track departmental expenses to help identify variances from the approved budget. Monitors miscellaneous expenditure account. Provides communication and guidance to budget managers on reclassification of expenditures for accurate accounting.
  • Compile routine budget reports under the direction of AVP. Compiles financial data from internal systems, organizing it into standardized templates, and verifying basic accuracy of figures and account coding. Maintains confidentiality of sensitive financial information throughout the reporting process.
  • Respond to routine budget-related inquiries from university departments, budget managers, and staff. Provides accurate information regarding budget balances, expenditure status, account codes, and financial policies. Escalate complex questions or discrepancies to AVP when necessary, ensuring timely and professional communication
  • Other duties as assigned.
