The Town of Weaverville is seeking applications for an employee to serve as the Town’s Clerk, Communications Coordinator, and Public Information Officer. This position works out of Town Hall located at 30 South Main Street.
The Town of Weaverville operates as a council-manager form of government with a Mayor, Vice Mayor, 5 Council Members, and a professional Town Manager.
The Town Manager is responsible for the employment of a professional and capable staff focused on a high level of service delivery to the residents and customers of the Town, and management of a combined budget of approximately $20 Million. Weaverville’s Town government is organized into the following departments and divisions:
Administration – Manager, Assistant Manager, Clerk, Facilities Maintenance;
Finance;
Planning;
Community Center and Recreation;
Police;
Fire;
Public Works – Streets, Sanitation, Stormwater, Grounds Maintenance, Water Distribution, and Water Production.
Working under the general supervision of the Town Manager, this position plays a critical leadership role in supporting the Mayor, Town Council, Town Manager and the Town’s municipal government by performing professional and administrative work providing the statutory responsibilities of town clerks and coordinating communications related to the Town’s meetings, projects, operations, and responding to citizen inquiries and records requests.
The ideal Town Clerk/Communications Coordinator/PIO will have creative and effective oral and written communication skills, an ability to handle complex and sensitive issues requiring a high level of discretion, independent judgment, and professionalism, and thoughtful interactions with elected officials, Town Manager, and department leadership, an ability to work with initiative and independence, and have a strong understanding of the legal parameters associated with local government.
- Performs statutory town clerk responsibilities; serves as custodian of official town records, collaborates to prepare meeting packets and related materials, attends all Council meetings, prepares Council minutes, coordinates the advertisement of public hearings, special and emergency meetings, and maintains the annual meeting schedule
- Fulfills and coordinates all public information requests according to North Carolina law
- Provides administrative and professional support to the Town Manager, Mayor and Town Council including correspondence, document production, file management, coordination of training, and related tasks
- Maintains and manages administrative files and records according to the NC Records and Retention Schedule
- Attends Town Council meetings and work sessions; researches, responds to and prepares correspondence; performs necessary follow-up and communicates with Town management on sensitive and confidential issues
- Responsible for administrating and maintaining the Town’s website and social media pages
- Develops communication materials such as press releases, presentations, and other correspondence
- Reviews, edits, and posts content for Town webpages and contributes content to social media channels
- Responds to inquiries from media and serves as a Town spokesperson as directed
- Organizes and supports public events, meetings, and hearings
- Participates as a key member of the Town’s leadership team
- Experience with local government and navigating the complexities of local governing bodies and governmental operations
