The Office Coordinator is responsible for supporting the operational efficiency and patient coordination activities within the Cardiac Surgery and Structural Heart Clinic. This role serves as a key administrative liaison between patients, providers, and staff, ensuring seamless scheduling, authorization processing, and communication. The Office Coordinator plays an essential role in maintaining workflow, supporting the Office Manager, and delivering a high standard of patient service.
Responsibilities- Follow up with patients regarding office visits, diagnostic testing, and procedures per physician requests and pre/post-procedure protocols
- Schedule and confirm patient appointments, testing, and follow-ups for providers
- Ensure all ordered testing is completed prior to scheduled patient follow-up visits
- Prepare physician clinic schedules and charts, including Structural Heart Clinic coordination
- Maintain proactive communication with patients to ensure continuity of care
- Complete prior authorizations for procedures and testing
- Submit clinical documentation to insurance carriers via fax
- Conduct follow-up calls to verify authorization approval and status updates
- Ensure all required pre-certifications are obtained in a timely manner
- Assist the Office Manager with the daily operations of the practice
- Answer telephone calls promptly and professionally; triage, route, or resolve inquiries appropriately
- Assist in maintaining efficient office workflow and patient flow.
- Adhere to all organizational and departmental policies, procedures, and regulatory requirements
- Support quality improvement initiatives and patient safety standards
- Maintain confidentiality of patient and organizational information in accordance with policies
- High school diploma or equivalent required (Associate degree preferred)
- Previous experience in a healthcare or medical office setting preferred
- Knowledge of insurance authorization processes and medical terminology preferred
- Strong organizational, communication, and multitasking skills
- Ability to handle sensitive information with discretion and professionalism
