Position Summary

We are seeking a detail‑oriented and organized Medical Records Assistant to join our team. This position is responsible for maintaining resident medical records and health information systems in accordance with federal and state regulations, facility policies, and HIPAA privacy standards. The ideal candidate will take pride in accuracy, confidentiality, and supporting quality resident care through effective records management.

Key Responsibilities
  • Maintain and organize resident medical records and health information systems
  • Ensure records are accurate, complete, and maintained in accordance with regulatory requirements
  • Assist with filing, scanning, retrieving, and auditing medical records
  • Process requests for medical information while maintaining confidentiality
  • Support record retention and storage procedures
  • Monitor documentation for completeness and notify appropriate staff of deficiencies
  • Assist with admissions, discharges, and transfer documentation
  • Maintain compliance with HIPAA and facility privacy policies
  • Retrieve and provide records for surveys, audits, and quality assurance activities as needed
  • Assist with data entry and health information management tasks
  • Communicate effectively with clinical staff, residents, families, and outside agencies as appropriate
  • Perform other clerical and administrative duties as assigned
Qualifications

Education & Experience

  • High school diploma or GED required
  • Previous medical records, health information management, or healthcare administrative experience preferred
  • Working knowledge of medical terminology preferred
  • Knowledge of anatomy, physiology, coding, indexing, and healthcare documentation is a plus
  • On‑job training provided for medical records and health information system procedures
Skills & Abilities
  • Experience using computers, data entry systems, and electronic records
  • Strong attention to detail and organizational skills
  • Excellent communication and time-management abilities
  • Ability to handle confidential information professionally and securely
  • Knowledge of data retrieval, input, and reporting functions
