Patient Access Associate – Order Transcriptionist

The shift is 8:30 a.m. – 5:00 p.m. Mon-Friday

SUMMARY

The Patient Access Associate – Order Transcriptionist is responsible for accurately transcribing physician orders, verifying insurance authorizations, and supporting the scheduling process for outpatient services. This role ensures timely and accurate data entry to facilitate patient access and revenue cycle operations while maintaining compliance with regulatory and organizational standards.

ESSENTIAL FUNCTIONS
  • Interpret and transcribe physician referrals using medical terminology and scheduling knowledge.
  • Create and update patient records in the system as needed.
  • Reconcile incoming orders and follow up on incomplete or missing documentation.
  • Document all activity, including authorization details, in the electronic system.
  • Maintain organized and confidential filing systems for quick information retrieval.
  • Collaborate with scheduling and clinical teams to avoid conflicts and ensure readiness for procedures.
  • Adhere to HIPAA and organizational confidentiality and safety policies.
  • Perform other related duties as assigned.
MINIMUM QUALIFICATIONS

EXPERIENCE:

None required. One (1) year in a medical office or hospital setting preferred.

LICENSURE OR CERTIFICATION:
None required.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Proficiency in interpreting medical terminology and healthcare documentation.
  • Strong attention to detail and accuracy in data entry.
  • Effective communication and customer service skills.
  • Ability to operate standard office equipment and use electronic health record (EHR) systems.
  • Organizational skills to manage multiple tasks and maintain documentation.
  • Ability to work independently and as part of a team in a fast-paced environment.
