Role Overview :

Vascular Centers of America is looking for a highly organized and dependable Medical Records & Release of Information (ROI) Specialist to oversee the medical records and ROI process across all of our locations.

The ideal candidate is proactive, detail-oriented, and able to take ownership of the medical records process from beginning to end
. This individual will manage a high volume of requests, ensure records are gathered and released accurately and securely, follow up on outstanding items, and make sure nothing falls through the cracks. This position will serve as a central point of contact for medical records across all locations and work closely with our clinical, administrative, billing, prior authorization, and revenue cycle teams.

Schedule:

  • Full-Time

  • Monday-Friday

  • 40 Hours Weekly

Responsibilities
  • Manage incoming and outgoing medical record and Release of Information (ROI) requests across all practice locations.

  • Retrieve complete records from the EHR and other systems for patients, providers, hospitals, insurance companies, attorneys, government agencies and other authorized parties.

  • Verify required authorizations and documentation before releasing protected health information.

  • Review records for completeness and accuracy and securely transmit them by fax, electronic portal, secure email, or other approved methods.

  • Maintain an organized tracking system, follow up on outstanding requests, and ensure records are processed within required time frames.

  • Request and retrieve outside medical records needed for patient care, billing, insurance, prior authorization, audits, and other operational needs.

  • Scan, upload, index, and accurately attach documents to the appropriate patient chart.

  • Respond to medical record inquiries and assist with insurance audits, payer reviews, legal requests, subpoenas, and other authorized requests.

  • Identify missing documentation and coordinate with clinical, billing, prior authorization, and administrative teams to obtain needed information.

  • Maintain strict patient confidentiality and comply with HIPAA and applicable privacy and security requirements.

  • Prioritize urgent requests and perform other medical records and administrative responsibilities as assigned.

Qualifications
  • Previous medical records experience, preferably in a physician practice or healthcare environment.

  • Experience with EHR/EMR systems strongly preferred.

  • Knowledge of HIPAA, patient confidentiality, and medical terminology.

  • Strong computer skills, including PDFs, scanning, faxing, email, and Microsoft Office.

  • Excellent organizational skills, attention to detail, and time management.

  • Ability to manage a high volume of requests across multiple locations while meeting deadlines.

  • Ability to work independently, prioritize tasks, and follow through.

  • Strong written and verbal communication skills.

  • Dependable, professional, and comfortable handling confidential information.
