Job Summary

The Administrative Supervisor of Pathology and Laboratory Medicine provides full administrative support to the Chief of Pathology, pathologists, and laboratory leadership team. They direct the coordination and supervision of transcriptionists, help develop department policies and procedures, assist in the development of budgets, and coordinate daily operations. They also provide personal secretarial and administrative support to the department such as preparing correspondence in final form, receiving visitors, maintaining files, scheduling meetings, conducting and participating in special projects as determined.

Additionally, the Administrative Supervisor attends various committee meetings as required and may be responsible for recording meeting minutes.

Duties & Responsibilities
  • Maintains Chief’s calendar and assists Pathologists and Lab leadership team with arranging meetings, conferences, and travel arrangements.
  • Establishes procedures to ensure efficient workflow, processing, and maintains professional standards which ensure proficiency, technical expertise and accuracy.
  • Performs supervisory responsibilities such as budget preparation and monitoring of department expenses, hiring, interviewing, conducting performance evaluations, providing disciplinary action, scheduling, assigning work activities and recommending salary increases.
  • Performs office functions, including receiving visitors, handling telephone calls, processing mail and maintaining department files.
  • Composes and types a wide variety of correspondence as well as assembles statistical data such as workload recording. Attends meetings and takes, prepares, and distributes minutes to appropriate personnel.
  • Performs transcription of surgical pathology reports as needed.
  • Preserves department confidentiality as well as protects employee and patient rights to confidentiality.
  • Sends out slides and reports to various outside locations upon request.
  • Performs all other related duties as assigned.
Requirements
  • Associate's Degree Required;
    Bachelor's Degree Preferred. Minimum 1 to 3 Years of previous healthcare office environment experience. Supervisory experience preferred.
  • Proficient in computer applications, including Microsoft Office (specifically Word and Excel) and database applications.
  • Knowledge of medical terminology.
  • Ability to perform transcription of surgical pathology reports.
  • Solid understanding of quality improvement, quality control and records management.
  • Communication and interpersonal skills.
