The Person nel Administrator provides essential administrative and operational support to the HR function at our food manufacturing facility. This role manages day-to-day personnel processes, maintains accurate employee records, supports recruiting and onboarding, ensures compliance with employment regulations and corporate policies, and delivers a positive employee experience. You will be a key point of contact for employees on routine HR matters and help keep HR operations running smoothly and efficiently.
Key Responsibilities- Maintain accurate and confidential employee records (personnel files, pay changes, status changes, etc.).
- Administer the full employee lifecycle processes, including recruitment administration, onboarding/offboarding, wage increases, promotions, and related documentation.
- Support recruitment by posting job advertisements, screening applications, coordinating interviews with management, and managing candidate communications.
- Handle routine employee inquiries regarding policies, benefits, leave, and employment terms; escalate complex issues as needed.
- Administer leave management (vacation, sick, personal, FML, etc.), track attendance, and prepare discipline documentation for manager completion when required.
- Assist with payroll by collecting and verifying data (timesheets, overtime, absences, new hires/terminations) and liaising with corporate administration and payroll.
- Help maintain HR policies, the employee handbook, and internal communications.
- Ensure compliance with internal policies, and procedures, and applicable employment regulations.
- Coordinate training records and mandatory trainings.
- Provide general administrative support to HR management.
- Contribute to continuous improvement of HR processes and systems.
- Performs other duties as assigned.
- Proven experience in an HR administrative, personnel, or office administration role with HR exposure (1-3+ years).
- Strong working knowledge of HR best practices.
- Excellent organizational skills and high attention to detail.
- Strong written and verbal communications skills; professional and approachable manner.
- High level of discretion and ability to handle confidential information.
- Proficiency with Microsoft Office (especially Excel and Word).
- Ability to prioritize workload, meet deadlines, take on additional tasks when needed, and work both independently and as part of a team.
- Experience with recruitment administration and payroll support.
- Familiarity with food manufacturing/production environments.
